Mitel 3000 Administrator’s Man ual USING THIS GUIDE This Administrator’s Manual is your guid e to using the Mitel 3000 system. It also explains how to progr am system settings using a Feature Phone. In describi ng the various system feat ures, dialing c odes are given which a re used to activate features wi th standard analog phones.
Mitel 3000 Administrator’s Man ual FEATURE PHONE There are two Feature Phone, on e with eight and the other with sixt een programm able keys. All of the Feature Phone a re high ly featured display telephon es. They all have a four-line display that contains prom pts, and menus wit h selectable opt ions.

It also provi des selectable options t o assist in activating features. Prompts and Inform ation • Prompts tell you what action to take , or warn of a n incorrect action.
Mitel 3000 Administrator’s Man ual Using the Display Keys to Select Menu Options The six display keys, located on each side of the display, ar e pressed to select the options shown on the display. This will either activate a feature, cause another menu to be displayed, or select an item from a list.

Mitel 3000 Administrator’s Man ual Headset Mode When a headset is p lugged in to the headset sock et, it is automatically detected and the option to turn the headset mode on is displa yed on the dis p lay. You can also turn hea dset mode on and off v ia the PROGRAM key .
Mitel 3000 Administrator’s Man ual Background Music This feature al lows an exte nsion to ha ve music pl ayed over the speaker of a Feature Phone while the extension is idle. This backg round music is supplied only if there is an extern al music source connected to the system.

Mitel 3000 Administrator’s Man ual GETTING STARTED – BASIC CALL FEATURES Making and Answering Calls To Make an Exte rnal Call • Lift the handset and select a free line in one of the following ways: • Press the line key 1 for line 1, line key 2 for line 2, and so on.
Mitel 3000 Administrator’s Man ual • Select the extensions to be preven ted from accessing that line. A “ ♦ ” is displayed alongside those extensions that are restricted from accessing the line, and a “ ◊ ” is displaye d alongside th ose extensio ns that have access to the line.
Mitel 3000 Administrator’s Man ual To Call a n Extension Gro up You can call a ny of the 20 extension groups in one of the followin g ways: • Select the “Int ernal Call” opt ion on the display and select the desire d group from the grou p list whic h is located under “Other” .
Mitel 3000 Administrator’s Man ual If a number or an incoming call matches a number in the System Speed-Dial list, the name in the list will be displayed. Note: Up to 2 4 digits c an be stored in any locat ion. A na me of up t o ten chara cters, inclu ding spaces, c an be used for each en try.
Mitel 3000 Administrator’s Man ual ANSWERING CALLS When the Feature Phon e rings, you can do one of the following: • Select “Answer The Call” on the display. • Lift the handse t. • Press the speakerphone key. From a standard analog telephon e, lift the handset when the phon e is ringing.
Mitel 3000 Administrator’s Man ual HOLDING AND TRANSFERRING CALLS System Hold You can place external calls on hold so that othe r tele phones can retrieve the call or you can return to t he call at a later stage.
Mitel 3000 Administrator’s Man ual • When the call is answered, press “Transfer”. From a standard analog phone , press the Hookflash key, dial a line access code ( 9, 760-769 ) and when dial tone is returned dial the seco nd number. When the call is answere d replace the handset.
Mitel 3000 Administrator’s Man ual RE-DIRECTING CALLS This allows you to forward a call that is ringing at your Feature Phone. To Re-Direct a Cal l Ringing at Your Extension • When a call is ringing at your Feature Phone, se lect “Re-Direct the call” on the display.
Mitel 3000 Administrator’s Man ual Follow Me The Follow Me feature allows you to set a call forw ard t o another ext ension a fter you have left your extension. • From the Feature Phone answering the calls, press the Scroll Down key ( ) until “Forward” is displayed.
Mitel 3000 Administrator’s Man ual • Enter an internal number if you want to forward all your calls to another extension. • Enter 9 or 760 - 769 foll owed by an external num ber if you want to Forward calls to an external number.
Mitel 3000 Administrator’s Man ual GROUP FORWARDING This feature allo ws any extension with in a group to forward calls for that grou p. When a forward for the group is set, any call for that group will be forwarded. Calls to individu al exten sions in the group are not forwarded .
Mitel 3000 Administrator’s Man ual CONFERENCE CALLS This feature allows you t o set up a three-way co nve rsation be tween three e xtensions, or between t wo extensions an d a CO line, or between tw o CO lines an d an extensi on.
Mitel 3000 Administrator’s Man ual HANDSET MONITOR When you are on a call using the headset the ha ndset receiver is also turned on. If you wish to disable this facility unplug the handset when the .
Mitel 3000 Administrator’s Man ual IMPORTANT: Extensions must be “L OGGED IN” for them to receive hunt group calls. If no extensions are logged in to the hunt group , the call will be diverted to extension 20.
Mitel 3000 Administrator’s Man ual EXTENSION GROUPS Group Programming This option i s used to allocate extensi ons to groups a nd to designate the type of gr oup: a Ring group or hunt group. When a gr oup is programmed, it can be asso ciated with lines, Caller ID numbers an d the Door Phone.
Mitel 3000 Administrator’s Man ual OUTGOING GROUPS To Program Lines into Grou ps for Access us ing the Codes 9 or 760 - 769 CO lines can be grouped together in up to 11 outgoing groups. Each outgoing group is associated with a code. These c odes are 9 or 760 - 769 , with grou p 1 being associated w ith 9 , etc.
Mitel 3000 Administrator’s Man ual To Set the Automatic Start a nd End Times for Night Service The Automatic “Night Servi ce” feature allows you t o set two time ba nds in each twenty-f our hour interval; the system then autom atically enters “Night Service”.
Mitel 3000 Administrator’s Man ual AUTO-ATTENDANT The Auto-Attendant feature allows callers to ring direc tly through to an extension provided that they kn ow the extension number of the person th ey wish to contact. A Voice Module must be installed for this feature to operate.
Mitel 3000 Administrator’s Man ual Diali ng # when Li stening to a Me ssage-Only Voice M ailbox The call is presented to the destination set in the Incoming Ringing programming for the CO line. Dialing More than O ne Digit If a valid extension number is dialed and th e extension is free, the phone is rung.
Mitel 3000 Administrator’s Man ual Auto-Attendant Programming Auto-Atten dant can be ena bled on a li ne-by-li ne basis from the programm i ng extensio n. If a call is received on an Auto-Attendant line wh en the voice mail system is busy, the call will ring as a normal call.
Mitel 3000 Administrator’s Man ual To Change the Ringing Tim e before Cal ls Hear the Aut o-Attendant Greeting You can change th e time that a call will ring before be ing automatically answered by the Auto-Attendant. Mitel 3000 Administrator’s Man ual DIRECTORY SERVICES There are tw o types of Di rectory Ser vice provided that prompt callers to the Auto Attendant with a list of names and ext ension numbers. The first is the “Sim ple Directory Service” and the othe r the “Dial Name Directory service”.
Mitel 3000 Administrator’s Man ual If there are no names programmed in the Directory the call is presented to the destination set in the “Incomi ng Ringing” programmi ng for the CO li ne. If the user does nothing for 5 second s the call is presented to the destination set in the “Incoming Ringing” programmi ng for the CO l ine.
Mitel 3000 Administrator’s Man ual • Select the “Directory Table” option. • Select the extension and enter the name. Use the keypad to enter the last name usin g 2 to enter A, 22 to enter B etc. A maximum of ten letters can be entered for each nam e.
Mitel 3000 Administrator’s Man ual VOICE MAIL Voice mail servi ces are available only on those system s equipped with the optional v oice mail m odule. Up to 40 exte nsions can be allocated voice m ailboxes. T he 20 ring groups ca n also be allo cated voice mailboxes.
Mitel 3000 Administrator’s Man ual • Press “Confirm”. • Press the speak erphone key to finis h progra mming. From a standard phone dial 9 to select the greetings. Dialing 1 selects the prim ary greeting and dialing 2 selects the alternate greeting.
Mitel 3000 Administrator’s Man ual • Select “Forward to VM” or enter 710 as the extension num ber. • If “Forward On No An sw er” is activated to 710 , the voice mailbox will answer calls unanswered after four rings . • If “Forward When Bu sy ” is activated to 710, calls you cannot receive wil l be answered by the voice mailbox.
Mitel 3000 Administrator’s Man ual To Access Voice Mailboxes • Press the MESSAGE key. • Select “Voice Messaging”. • Enter your extension number ( which is your voice mailbox number). • Enter your voice mail password (1 111 by default) follow ed by #.
Mitel 3000 Administrator’s Man ual Return Call The Return Call feature allows yo u to initiate a call to the caller who left a message in your voice mailb ox. • When you ha ve listened t o a message in t he voice mai lbox select t he “Return Call” option.
Mitel 3000 Administrator’s Man ual • Then dial the following numbers to access your messages: W hile listening to the G reeting • Dial 1 Playback commences at the first message. • Dial 2 For more in formation. • Dial 41 Turn remote notification on.
Mitel 3000 Administrator’s Man ual REMOTE NOTIFICATION OF VOICE MESSAGES When a user turns remote notification on, a call will be made to th e personal or pager number programmed by the user to notify them that they have received a new voice mail message.
Mitel 3000 Administrator’s Man ual Setting up Remote Noti fication to a Pager To program a pager to rece ive the rem ote notification cal l two num bers must be programm ed, the num ber to contact the pager company and the digits that are sent to t he pager com p any once they have answe red the call (dial string).
Mitel 3000 Administrator’s Man ual • Select “Retry attempts”. • Enter the value from 2 to 15 an d press “Confirm”. The default value is set at 2. Mitel 3000 Administrator’s Man ual ADDITIONAL CALL FEATURES Redial Use the Redial feature to re dial the external number you m ost recently dialed. A line is selected automatically and the last ex ternal numb er dialed is re dialed. It is important to note that this feature redials external calls only, calls to other exten sions are not redialed.
Mitel 3000 Administrator’s Man ual To pick up a call that is on hold in lin e 2, dial #502 from the extension you want to p ick the call from. Note: If the Mitel 3000 is in PBX mode, this feature will not work. To Pick up an External Incoming Call • Select “External Call Pick-Up”.
Mitel 3000 Administrator’s Man ual To Accept a Waiting Call If another extension pr esents you with Call Waiting, this will be indicated on your display and you will hear the Call Waiting tone, provided your extension is not protected again st Call Waiting tones.
Mitel 3000 Administrator’s Man ual From a standar d analog telep hone, “Barge -In” is activat ed by diali ng the code 7 09 followe d by the extension number. To Program extensions allowed to barge-in In default no extensi ons are pr ogrammed to activate “Barge-In”.
Mitel 3000 Administrator’s Man ual Operator Services You can choo se to use a n operator wi th the M itel 3000 tel ephone system . For example, the operat or can transfer internal and external callers to in ternal extensions. To call the operator • Dial the code ( 0 ) for the operator’s extension.
Mitel 3000 Administrator’s Man ual Note: Only Feature Phone can displa y messages. A standard analog telephone will not receive any indication t hat a mess age has been set on the extensi on it is cal ling. From a standard analog telephone, the cod e is 729 .

Mitel 3000 Administrator’s Man ual To make an Announcement ove r a Public Address System If there is a Public Addr ess (PA) system connected to your Mitel 3000, an y extension can make an announcement ove r the PA system. • From the Idle Menu, press the Scroll Down key ( ) until “Paging ” is displayed.
Mitel 3000 Administrator’s Man ual Single Extension Page The Single Extension Page feature allows you to ca ll and speak over t he speaker of an individual Feature Phone.
Mitel 3000 Administrator’s Man ual • Enter the System Programming Pass word an d select “Extensions”. • Press the Scroll Down key ( ) until “Manager / Assistant” is displayed. • Select “Manager / Assistant”. • Select the assistant extension.
Mitel 3000 Administrator’s Man ual To Program a Ke y to Call the Assistant’s Extension Directly With this feature set, the m anager can call the assistant, while the assistant’s extension is idle, by pressing the key. Also, the ma nager can see the status of th e assistant’s extension from the key light.
Mitel 3000 Administrator’s Man ual Note: When enabli ng or dis abling the LC R feature, t he new setti ng does not take immediat e effect. There can be a delay of up to 1 minute for the setting to take effect. Note: To program L CR Codes whe n a T1 or T1 PRI interf ace card is i nstalled see p age 129 .

Mitel 3000 Administrator’s Man ual PBX MODE The Mitel 3000 can be set, through System Progr amming, to operate in either PBX or Key System mode. The switch works in Key System mode by de fault. When PB X mode is s elected, a number of chang es are mad e to the op eration of the system.
Mitel 3000 Administrator’s Man ual DO-NOT-DISTURB If your extension is set to “Do-Not- Dist urb”, anyone trying to call you w ill receive a busy (engaged) tone. If the person trying to contact you has a Feature Phon e, “Do-Not-Disturb Enabled” will appear on its display.
Mitel 3000 Administrator’s Man ual To Unlock Your Extension • Select “Unloc k The Extensi on”. This display op tion only appears when th e extension is locked. • Dial your t hree-digit l ock passwo rd. (The de fault lock password is 123 ). Press the speak erphone key to finis h progra mming.
Mitel 3000 Administrator’s Man ual TONE PROTECTION As described on page 74 , extensions can present a busy extensio n with a call waiting tone, provid ed the busy extension is not protected agains t receiving call-waiting tones. By de fault, all extensions are protected against receiving Call Waiting tones, except extensio n 20.
Mitel 3000 Administrator’s Man ual SENDING A HOOKFLASH WHILE ON A CALL A Hookflash signa l can be required if you are us ing certain network services on stan dard CO lines, or if your Mitel 3000 is connected to anothe r telep hone system (PBX) via on e of the line interfaces.
Mitel 3000 Administrator’s Man ual MUSIC-ON-HOLD OPTIONS When an external call is placed on hold, you ca n choo se between supplying music, a tone, or silence to the caller.
Mitel 3000 Administrator’s Man ual • Select “Name Programming”. • From the ext ension me nu, select the ext ension you want to nam e and enter t he name as de scribed on page 27 . Up to ten characters (including s paces) can be e ntered for each name.
Mitel 3000 Administrator’s Man ual • When enteri ng a code, an add itional opti on is given on the displ ay of your Feature Phone . This option is the “Any” key, which, when selected, inserts th e symbol “X” into the ne xt character of the code (number) you are entering.
Mitel 3000 Administrator’s Man ual Note: Numbers on an extension’s Personal Sp eed-Dial list cannot override the Clas s-of-Service restriction of the extension. POWER FAILURE OPTIONS To Provid e Battery Backup Your Mite l 3000 can be equippe d with an optional Bat tery Back up Unit (B BU).

Mitel 3000 Administrator’s Man ual CALL LOGGING Your Mitel 3000 system can be connected to a printer or PC, which will maintain a record of incoming and outgoing calls made on the system. Details are printed as the calls are completed. A buffer is provided to store the last 500 call records.
