3 ABOUT THIS MANUAL This manual explains the pr ocedures for using sca n mode, Internet fax mode , USB memory mode, an d PC scan mo de on the machine. Please note • To use the Inte rnet fax func tion, the Internet fax expansion kit must be installed.
4 MANUALS PROVIDED WITH THE MACHINE Printed manuals a nd manuals stored in PDF format on the ma chine's hard drive are p rovided with th e machine.
5 This chapter provides basic informa tion that is necessary to use the mach ine as a network scanner. NETWORK SCANNER FUNCTION The network scanner functio n of the machine can be used to sc a n an original, create an image file, and send the f ile over a network to a comput er, FTP server, or othe r destinatio n.
6 PREPARATIONS FOR USE AS A NETWORK SCANNER MAKE SURE THE MAIN POWER SWITCH IS IN THE "ON" POSITION The main power is "on" when t he main power indi cator on the rig ht side of the operation pan el is lit. If the main power ind icator is not lit, the main power is off.
7 STORING SENDER INFORMATION Before using Scan to E-mai l Store the default se nder name in "Sender Na me" and the reply e-mail address in "Reply Addr ess".
8 STORING DESTINATION ADDRESSES FOR EACH SCAN MODE IN THE ADDRESS BOOK To use Scan to FTP, Scan to Desktop, and Scan to Net work Folder, destinat ions must be stored in t he address book.
9 STORING A DESTINATION FOR SCAN TO DESKTOP To store your computer in the machine as the destinat ion of Scan t o Desktop, Network Scan ner Tool mu st be installed from the "Sharpdesk/Network Scanner Utilities" CD-ROM that accompanie s the machine (or that accompanies the network scanner expansion kit when the MX-2300G/270 0G is used).
10 BASE SCREEN Scan mode, I nternet fax mode , USB memory mode, and PC scan mode are oper ated by select ing settin gs and commands in the base screens of thes e modes. To display the base screen of a mode, press the [IMAGE SEND] key and then touch the [ Mode Switch] key to select the desired mode.
11 BASE SCREENS Settings are select ed in the base screen of ea ch mode. (1) Various messages are display ed here. The icon of the selected mode appears on the left.
12 (9) Customized keys The keys that appear here can be changed to show settings or functions that you prefer. The keys are changed in "Custo mize Key Setting" i n the system settings (administrator). The following keys appear by factory default: • [Special Modes] key Touch this key to use a conven ient special mode.
13 [Image Settings] key When the [Image Settin gs] key is touched, the [Special Mod es] key and keys for selecting scan settings appe ar. The current setting of each scan setting key appea rs in the top of the key. (1) [Exposure] key Touch this key to select the exposure for scanni ng.
14 ADDRESS BOOK SCREEN This screen is used to select transmission destinations. (1) One-touch key display The destinations (one-touch keys) stored in each index are displayed. This manual refers to keys in which destinations and groups are stored as one touch keys.
15 CHANGING THE DISPLAY OF ONE-TOUCH KEYS IN THE ADDRESS BOOK SCREEN You can show only destinations of a specific transmission mode in the Address Bo ok scre en, or change the displayed index tabs from the alphabetical tabs to th e custom tabs. Th e procedure for selecting destinations does not cha nge.
16 SCANNING AND TRANSMISSION SEQUENCE This section explains the basic pr ocedure for scann ing and tran smission. Select settings in the or der shown below to ensure smooth transmission. For the detailed pro cedures for selectin g the settings, see the ex planation of each setting in this ma nual.
17 Select convenient special modes Convenient special modes and document filing settings ca n be selected. ☞ 7. CONVENIENT FUNCTIONS (page 83) Enter the destination Specify the destination of the scan transmission. • [Address Book] key: Select a destination that is stored in the Address Book or look up a destination in a global addre ss book.
18 ORIGINAL SIZES ORIGINAL SIZES THAT CAN BE TRANSMITTED The follow ing origin al sizes can be tra nsmitted THE SIZE OF THE PLACED ORIGINAL When a standard size original is placed, the original size is auto matically detected and displayed in t he base screen as the "Scan" size.
19 This chapter explain s how to spe cify destination add resses, including selecting an address from the Address Book and retrieving an addr ess by entering a se arch number. SPECIFYING DESTINATIONS IN THE ADDRESS BOOK The Address Book screen shows de stinations as one-touch keys.
20 CALLING UP A DESTINATION A destination is called up by selecting its one-t ouch key. 1 Touch the [Addr ess Book] key. 2 Touch the index tab where the destination is stored. It is convenient to sto re frequently used desti nations in the [Frequent Use] inde x.
21 CHECKING AND DELETING THE SELECTED DESTINATIONS When multiple destinatio ns have been selected, you can display and ch eck the destinations. You can also delete a destination fr om the list (cancel selection of the destinatio n). 1 Touch the [Address Review] key.
22 USING A SEARCH NUMBER TO SPECIFY A DESTINATION A destination store d in the Address Book can be called up using the key. This can be done in the base screen of any of the modes or in the Address Bo ok screen. 1 Touch the key. 2 Enter the 3-digit search number of the address with the numeric keys.
23 ENTER THE ADDRESS MANUALLY Destination addres ses for Scan to E-mail and In ternet fa x can be entered manually. 1 Change the mode. (1) Touch the [Mode Switch] key. (2) Touch the key of the mode that you wis h to use. 2 Touch the [Address Entry] key.
24 CALLING UP A DESTINATION FROM A GLOBAL ADDRESS BOOK When an LDAP server is configur ed in the Web page, you ca n lo ok up an addre ss in a global addr ess book and retrieve the addre ss for Scan to E- mail or Intern et fax tran smission. 1 Touch the [Addr ess Book] key.
25 4 Select the destination. (1) Touch the key of the desired destina tion. If there are more destinations than can b e displayed in the screen, touch the keys to change p ages. (2) Touch the [To] key. This enters the selected desti nation. If you wish to e nter another de stination, repeat steps (1) and (2) above.
26 USING THE RESEND FUNCTION The last 8 destinatio n addresses used for Scan to E-mail a nd Inter net fax transmissions are saved in memor y and can be selected to resend to those dest inations. 1 Touch the [Resend] key. 2 Touch the key of the desired address.
27 SCANNING TO E-MAIL, FTP, DESKTOP, AND NETWORK FOLDER This section explains the basic procedu re for transm ission in scan mode (Sca n to E-mail, Sc an to FTP, Sca n to Desktop, and Scan to Network Fo lder).
28 2 Change to scan mode. (1) Touch the [Mode Switch] key. (2) Touch the [Scan] key. 3 Display the original settings screen. (1) Touch the [Image Settings] key. (2) Touch the [Original] key. The current settings of the [Exposure], [R esolution], [Origin al], [Col our Mode], and [File Format] keys appea r in the top half of each key.
29 6 Specify the destination. (1) Touch the one-touch key of the desi red destination. The icon on the key indicate s the type of destination stored in the ke y. : Scan to E-mail : Scan to FTP : Scan to Network Folder : Scan to Desktop (2) Touch the [To] key.
30 8 If the original was placed on the document glass, replace it with the next original and press the [COLOUR START] key ( ) or the [BLACK & WHITE START] key ( ). Repeat until all originals have been scann ed. The exposure, resolu tion, and scan size/send size can be changed for each original page that is scann ed.
31 CHANGING THE EXPOSURE AND EXPOSURE MODE The exposure can be changed to match the darkness of the original. Th e exposure mode can be changed to m atch the original type . 1 Display the exposure setting screen. (1) Touch the [Image Settings] key. (2) Touch the [Exposure] key.

33 CHANGING THE RESOLUTION The resolution se tting can be selected . How to select the resolution When scanning a regular text document, a resolution settin g of 200X200dpi will create a suffi ciently legible image. When scanning a photo or illustration , a high resolution setting (suc h as 600X 600dpi) will produce a s h arp and clear image.
34 AUTOMATICALLY SCANNING BOTH SIDES OF AN ORIGINAL (2-Sided Original) The automatic docum ent feeder can be used to automatically scan bot h sides of an original. 1 Display the original settings screen. (1) Touch the [Image Settings] key. (2) Touch the [Original] key.
35 SPECIFYING THE ORIGINAL SCAN SIZE AND SEND SIZE (Enlarge/Reduce) When the original is placed, it s size is automa ti cally detected and displayed in the base screen. The size of the placed or iginal is indicated as th e scan size, and the size to be tran smitted is indicate d as the send size.
36 SPECIFYING THE SCAN SIZE OF THE ORIGINAL If the original is a non-st andard size or you wish to ch ange t he scan size, touc h the [Origina l] key to sp ecify the or iginal size manually. Place the origin al in the document f eeder tray or on th e document glass and fo llow the steps below.
37 Specifying the size by en tering numerical values. When scanning a non-st andard size original such as a postcard or card, follo w these steps to specify the origin al size. The width can be from 64 mm to 432 mm (2-1/2 " to 17"), and the leng th can be from 64 mm to 29 7 mm (2-1/2" to 11-5/8 ").
38 SPECIFYING THE SEND SIZE OF THE ORIGINAL Specify the send size as a paper size. If a send size bigger than the scan size is selected, the im age will be enlarged.
39 CHANGING THE COLOUR MODE This procedure is used t o change the colou r mode us ed to scan the original wh en the [COLO UR START] key ( ) or the [BLACK & WH ITE START] key ( ) is pr essed.
40 CHANGING THE FILE FORMAT The file format (f ile type and compression meth od / compression ratio) f or sending a scanned image is speci fied when the destinat ion is stored in a one-touch k ey; however, you ca n change the format at the t ime of transmission.
41 4 To change the number of pag es per file, enter the number of pages and exit the format settings. (1) Touch the [Specified Pages per File] checkbox so that a checkmark appears. (2) Set the number of pages per file with the keys. (3) Touch the [OK] key.
42 CHANGING THE SUBJECT, FILE NAME, REPLY-TO, AND MESSAGE The subject, file name , reply-to, and messag e can be changed when perf orming a scan transmission. Preset items ca n be selected or te xt can be directly ent ered. • When performing Scan to FTP, Scan to Desktop, or Scan to N etwork Fol der, only the file n ame is used .
43 4 To change the file name, touch the [File Name] key. • The file name is entered in th e same way as the subject. • If you are sending to a Scan to FTP, Scan to Desktop, or Scan to Network Folder destination, go to step 9. Up to 54 ch aracters can be entered for th e file name.
44 8 Enter the message and touch the [OK] key. • To select a p re-set message previously stored i n the Web page, touch the [Pre-Set Select] key. • To directly enter the message, touch the [Edit] key. • 1800 characters can be entered. (A line brea k counts as one character.
45 SCANNING TO USB MEMORY Follow the steps below to send a scanned file t o a commercially available USB memory device that has been connected to the machin e. This stores the file in th e USB device. 4 BASIC PROCEDURE FOR SCANNING IN USB MEMORY MODE • Consult your deal er or retailer fo r USB memory devices that can b e used.
46 2 Place the original. • When placing the o riginal, orient it as explained below. * To place a large portrait-oriented original, pla ce it as shown above in "Landscape or ientation" and specify the placement orientati on in step 5. • Place A5 (5-1/2" x 8-1/2") size originals in portrait (vertical) orientation ( ).
47 4 Display the original settings screen. (1) Touch the [Image Settings] key. (2) Touch the [Original] key. The current settings of the [Exposure], [R esolution], [Origin al], [Col our Mode], and [File Format] keys appea r in the top half of each key.
48 6 Press the [COLOUR START] key ( ) or the [BLACK & WHIT E START] key ( ). Scanning begins. • If the original is placed on the document glass, the [Read-End] key appears in th e touch panel. To scan only one original, go to ste p 8. To scan multiple or iginals, go to the next step.
49 9 When "Sending data has been completed." appears in the touch panel, disconnect the USB memory. Do not disconnect the USB memory wh ile "Processing data." or "Sending data." appear in the touch panel. • When transmission to USB memory is completed, "Sendin g data has been completed.

62 SENDING A FAX IN INTERNET FAX MODE 5 BASIC PROCEDURE FOR TRANSMISSION IN INTERNET FAX MODE When a default address is configured in "Def a ult Address Setting" in the system settings (administrator), the mo de cannot be changed, the destination cann ot be changed, and destin ations c annot be added.

72 CHANGING THE FILE FORMAT The file format for sending an Int ernet fax is norm ally set to [TIFF-F]. If the destina tion Internet fax machine does no t support full mode (it only supports simple mode), follo w the steps be low to select [ TIFF-S]. 1 Display the format setting screen.
73 CHANGING THE SUBJECT, FILE NAME, AND MESSAGE The subject, file name , and message can be chang ed when per forming an Interne t fax transmiss ion. Prese t items can be selected or te xt can be directly ent ered. • If the subject and fil e name are not changed, th e settings in the Web page are used.
74 5 To change the message, touch the [Body Text] key. 6 Enter the message and touch the [OK] key. • To select a p re-set message previously stored i n the Web page, touch the [Pre-Set Select] key. • To directly enter the message, touch the [Edit] key.
75 This chapte r explains how to chec k the status of re served transmission jobs and r eceived Intern et faxes. JOB STATUS SCREEN The job status screen is displaye d when the [JOB STATUS] key on the operat ion panel is pressed. The job st atus screen shows the status of job s by mode.
76 JOB QUEUE SCREEN AND COMPLETED JOB SCREEN The job status screen consist s of two screens: the job queue screen that sh ows reserved jobs and the job cu rrently in progress, and th e completed jobs scree n. To switch between th e two screens, touch the job stat us screen selector key ((2) below).
77 Job key display The following information is shown in the job queue keys and completed job keys that appe ar in the job status screen. (1) Displays the number (position) of the jo b in the job queue. When the job currently being transmitte d is finished, the job moves up one position in the job queue.
78 "Number o f successful transmission destinations / Total destinations OK" A broadcast transmission has been completed. If transmission to 3 destinations was successful out of a total of 5, "003/005 OK" will ap pear. "No Response" An error occurred because there was no response from the destination.
79 OPERATION WHEN A JOB IN THE JOB QUEUE IS COMPLETED When a normal tran smission job is completed, it moves to the completed job s screen and "Send OK" appears in the status column. Received Intern et faxes, timer tra nsmission jobs, an d forwardi n g jobs are handled in the job stat us screen as explained below.
80 CHECKING COMPLETED JOBS You can check a list o f the destin ations, the destinat ions fo r which t ransmission failed, and other detailed information on completed broadcast tr ansmission jobs and jobs that used document filing function.
81 STOPPING A SCAN JOB BEING TRANSMITTED OR WAITING TO BE TRANSMITTED Follow the steps below to stop a job th at is being t ransmitted or is waiting to be transmitted. 1 Press the [JOB STATUS] key. 2 Select the job that you wish to stop. (1) Touch the mode key of the job to be stopped.
82 GIVING PRIORITY TO A SCAN TRANSMISSION JOB When multiple jobs are waiting t o be transmitted, the job s are normally tran smitted in the orde r they were reserved . If you need to give priorit y to a job and send it ahe ad of the other jobs, f ollow the steps below.
83 This chapter exp lains convenie nt functions for pe rforming sc an transmissions. These functions make it easy to perform scan transmissions for a variety o f purposes.
84 2 Touch the [Addr ess Book] key. To directly enter a destination address, touch th e [Address Entry] key. 3 Specify the destination. (1) Touch the one-touch key of the desi red destination. (2) Touch the [To] key. The destina tion is spec ified. (3) Repeat steps (1) and (2) until all add resses are selected.
85 5 Check the destinations. (1) Check the destinations. (2) Touch the [OK] key. If the transmission includes Cc o r Bcc destinations, touch t he [Cc] tab or th e [Bcc] tab to check those destinations. To cancel a specifi ed destination... (1) Touch the key of the destination that you wish to cancel.
86 BROADCAST TRANSMISSIONS THAT INCLUDE INTERNET FAX DESTINATIONS When a broadcast transmission inclu des both scan mode and Internet fax mode destinations, t he Internet fax mode settings (origin al orientation and other settings) are given prio rity.
87 Resending to unsuccessful broadcast transmission destinations The results of a co mpleted broadca st transmission can be che cked in the job status scree n. If transmission to any of the addresses failed , resend the image to th ose addresse s. 1 Press the [JOB STATUS] key.
88 ERASING PERIPHERAL SHADOWS ON THE IMAGE (Erase) The erase function is used to erase shadow lines on im age s produced when scanning thick originals or books on t he document glass. (This f unction erases th e parts of the imag e wher e shadows tend to form.
89 3 Touch the [Special Modes] key. 4 Touch the [Erase] key. 5 Select the erase settings. (1) Touch the desired erase mode. Select one of the three erase modes. (2) Set the erasure width with th e keys. 0 mm to 20 mm (0" to 1") can b e entered.
90 8 Press the [COLOUR START] key ( ) or the [BLACK & WHITE START] key ( ). Scanning begins. • If you inserted the or iginal pages in the document feeder tray, all pages are scanned. A beep will sound to indicate that sca nning is finished. • If you are sca nning the original on the d ocument glass, scan each page one page at a time.
91 SCANNING AN ORIGINAL AS TWO SEPARATE PAGES (Dual Page Scan) The left and righ t sides of an original can be scanned as two se pa rate pages. This f unction is useful when you wish t o successively scan each page of a book or other bo und document.
92 3 Touch the [Special Modes] key. 4 Select Dual Page Scan. (1) Press the [Dual Page Scan] key so that it is highlighted. (2) Touch the [OK] key. 5 Touch the [Addr ess Book] key. To directly enter a destination address, touch th e [Address Entry] key.
93 7 Press the [COLOUR START] key ( ) or the [BLACK & WHITE START] key ( ). Scanning begins. When scanning finishes, place the next two open pages and press the [COLOUR START] ke y ( ) or the [BLACK & WHITE START] key ( ). Repeat until all pages have been scanned and then press the [Read-End] key.
94 SENDING AN IMAGE AT A SPECIFIED TIME (Timer Transmission) This function lets you specify a time at which a transmission or broadc ast transmission will auto matically take place. Transmission begins autom atically at the specified time. • When a timer transmission is stored, keep the main po wer switch in the "on" position.
95 3 Touch the [Special Modes] key. 4 Touch the [Timer] key. 5 Set the time with the keys. (1) Specify the day. If you do not wish to specify a day, select [---].
