1 1 CHAPTER ONE In tr od u c ti o n Using This Man ual Thank you for purchasing a Brother fax machine (F AX) or multifunction center (MFC). T his F AX/MFC has been designed to be simple to use, with LCD screen prompts to guide you through functions.
2 CHAPTER ONE T est Sheet Pr ocedures (f or USA onl y) After programming your Station ID, please fill out the TEST SHEET included with your F AX/MFC and fax it to Brother’ s Automated Fax Response System as your first tr ansmission. This will verify that your F AX/MFC is properly installed.
3 INTR ODUCTION When your F AX/MFC answers in F AX/TEL Mode, the F AX/MFC listens for CNG tones and then responds with recei ving tones. The fax “handshake” is the time in which the sending machine’ s CNG tones and the recei ving machines “chirps” over lap.

7 2 CHAPTER TWO I nst al la ti on Caution 1 Nev er install telephone wiring during a lightning storm. 2 W e recommend that this product be used with a sur ge protection device to protect the product against lightning storms. 3 Nev er install a telephone jack in a wet location unless the jack is specifically designed for a wet location.

9 INST ALLA TION Choosing a Location Place your fax machine on a flat, stable surface , such as a desk. Select a place that is free of vibration and shocks. Locate the F AX/MFC near a telephone jack and a standard, grounded po wer outlet. A v oid placing your machine in a high-traff ic area.
10 CHAPTER TWO Attach the paper wire e xtension and paper suppor t 1 Attach the paper wire extension. Paper Wire Extension 2 Insert the paper support into the openings as sho wn and then pull it out until you feel it click into place.
11 INST ALLA TION Install the printing car tridge 1 Open the front cov er . Front Cover 2 Open the top cov er , pressing the blue le vers on both sides of the top cov er . Blue Lever Top Cover 3 Remov e the plastic stopper from the printing cartridge.
12 CHAPTER TWO 4 T urn the black spool on the right clockwise to tighten the rib bon as shown. Indented Arro w Black Spool 5 Install the printing cartridge by inserting the indented first and placing the cartridge into its four holders. Top Cover Front Cover 6 Press down on both sides of the top co ver to close it securely .
13 INST ALLA TION Load the paper The paper cassette can hold about 100 sheets of 20-lb . paper . 1 Open the paper cov er . 2 Place up to 100 sheets of paper in the paper holder . Do not allow the le vel of paper to pass maximum paper line on the paper guides.
14 CHAPTER TWO Connect the power cor d When you connect the po wer , the screen displays 01/01 00:00 F AX. NO TICE: 1) This fax must be g rounded using a three-prong plug.
15 INST ALLA TION T wo-Line Phone System A two-line phone system is nothing more than tw o separate phone numbers on the same wall outlet. The two phone numbers can be on separate jacks (RJ11) or combined into one jack (RJ14). Y our F AX/MFC must be plugged into an RJ11 jack.
16 CHAPTER TWO Installing F AX/MFC, External T wo-Line T AD , and T wo-Line T elephone When you are installing an external two-line tele phone answering device (T AD) and a two-line telephone, your F AX/MFC must be isolated on one line at both the wall jack and at the T AD.
17 INST ALLA TION Triplex Adapter Two Line Phone Two Line External TAD FAX/MFC Y ou can keep two-line telephones on other wall outlets as al ways. There are two ways to add a tw o-line telephone to the F AX/MFC’ s wall outlet. Y ou can plug the telephone line cord from the two-line telephone into the L1+L2 jack of the triplex adapter .
18 CHAPTER TWO As with all fax units, this machine must be connected to a two wire system. If your line has more than two wires, proper connection of the F AX/MFC cannot be made. If you are installing the F AX/MFC to work with a PBX: 1 It is not guaranteed that the unit will operate correctly under all circum- stances with a PBX.
19 INST ALLA TION Do not connect a T AD elsewhere on the same phone line—your F AX/MFC and T AD will both try to control the line. Connections The external T AD must be plugged into the left side of the F AX/MFC, into the jack labeled EXT . Y our F AX/MFC cannot work properly if you plug the T AD into a wall jack.
20 CHAPTER TWO Outgoing Message (OGM) T iming is important in recording this message. The message sets up the ways to handle both manual and automatic f ax reception. 1 Record 5 seconds of silence at the beginning of your message. (This allo ws your F AX/MFC time to listen for the fax CNG tones of automatic transmissions before they stop.

User-friendly programming helps you tak e full advantage of all the functions your F AX/MFC has to offer . Since your fax programming is done on the LCD, we created step-b y-step on-screen prompts to help you program your F AX/MFC.
22 CHAPTER THREE Alternating Displa ys When you see alternating displays, the LCD sometimes alternates between the currently selected option, and a help message gi ving brief instructions about how to proceed .

27 Getting Star ted Setting Dialing Mode (T one/Pulse) Y our F AX/MFC comes set to accommodate tone (multi-frequenc y) dialing service. If yo u have pulse (rotary) dialing service, you need to change the dialing mode. 1 Press F unctio n , 1 , 1 . The scr een prompts you to select TONE or PULSE.
28 CHAPTER FOUR 4 Enter two digits for the month (for example , enter 09 for September , or 10 for October). The screen displays your entry . 5 Press Set . The screen prompts y ou to enter the day . ENTER DAY:XX 6 Enter two digits for the day (for e xample , 06).
29 INITIAL SETUP Entering T ext When you are setting certain functions, such as the Station ID, you may need to enter te xt into the F AX/MFC. Most keys on the dial pad ha ve three or four letters printed abov e them. The k eys for 0, # and don’t ha ve printed letters because they are used for special characters.
30 CHAPTER FOUR NO TICE The T elephone Consumer Protection Act of 1991 makes it unla wful for any person to use a computer or electronic device to send any message via a telephone fax machine unless s.
31 INITIAL SETUP Setting the Handset V olume Y ou can adjust the handset volume an y time you are talking on the telephone. T her e are tw o handset volume le vels, LO W and HIGH. The default setting is LO W . Press or to adjust the volume le vel. The display shows the setting you are choosing.
32 CHAPTER FOUR Memory Storage In the e vent of a po wer failure, all settings in the INITIAL SETUP , SETUP RECEIVE, SET A UTO DIAL, REMO TE F AX OPT , SETUP MSG CTR and MSG CTR PR O plus the CO VERPG SETUP and CO VERP A GE MSG (from SETUP SEND) functions are stored permanently .
33 Basic Receiving Operations Select Answer Mode MANU AL —Y ou must answer all calls yourself. If you hear fax tones, press Star t to begin recei ving the fax, then hang up. Y ou can use this mode with Distinctiv e Ringing. F AX ONL Y —T he F AX/MFC automatically answers e very call as a fax call.

35 SETUP RECEIVE Setting Ring Delay The Ring Delay setting determines the number of times the F AX/MFC rings before it answers. If you hav e extension phones on the same line as the F AX/ MFC, keep the Ring Delay default setting of 4 . 1 Press F unctio n , 2 , 1 .
36 CHAPTER FIVE Record F AX/TEL Outgoing Announcement (F/T OGM) (For F AX 870MC and MFC 970MC Onl y) This is the announcement played by your F AX/MFC (not an external T AD) when someone calls and your machine is set to F AX/TEL mode. Although callers hear your announcement, they cannot lea ve a messa ge.
37 SETUP RECEIVE Printing a Reduced Incoming Document Y ou can always reduce the size of an incoming fax to a f ixed percentage, regardless of the size of the paper (up to le gal) in your F AX/MFC. If you choose A UTO , your machine chooses the lev el of reduction for you.
38 CHAPTER FIVE Setting P aper Size Y ou can use three sizes of paper for printing your faxes — letter , le gal and A4. When you change the kind of paper you have loaded in the F AX/MFC, you will need to change the setting for paper size, so your machine will know ho w to f it the incoming fax on the page.
39 SETUP RECEIVE Ad v anced Receiving Operations Operation fr om Extension T elephone If you answer a fax call on an e xtension phone or on an external phone in the EXT . jac k, you can make your F AX/MFC take ov er by using the Fax Recei ve Code. When you press the F ax Receive Code 5 1 , the F AX/ MFC starts to receive a fax.

41 SETUP RECEIVE Setting Up P olling Receive Polling Recei ve is when you call another fax machine to recei v e a fax from it. 1 Press F unctio n , 2 , 7 . The screen displays SELECT < - - > & SET POLLING RX:OFF? 2 Press or to choose ON. 3 Press Set .
42 CHAPTER FIVE Setting Up Sequential P olling Receive Y our F AX/MFC can request documents from sev eral fax units in a single operation. Afterward, a Sequential Polling Report will be printed. 1 Press F unctio n , 2 , 7 . The screen displays: SELECT < - - > & SET POLLING RX:OFF? 2 Press or to select Polling ON.
43 SETUP RECEIVE Setting Multi-Function Link Mode (For MFC 970MC Onl y) If you connect your F AX/MFC to your PC, you can recei ve fax es into your PC. See chapter 15 to set up for Multi-Function Link (for MFC 970MC only).
44 CHAPTER FIVE Registering the Distinctive Ringing P attern 1 Disconnect the F AX/MFC from any T AD or telephone company voice mail. 2 Set the F AX/MFC to MANU AL mode. 3 Press F unctio n , 0 , 1 . The screen displays the current setting of this feature.
45 SETUP RECEIVE ■ Y ou will see the first 16 characters of the number or name. ■ OUT -OF-AREA display means call originates outside your Caller ID service area. ■ PRIV A TE CALL display means the caller has intentionally block ed transmission of information.
46 CHAPTER FIVE Printing Caller ID List 1 Press F unctio n , 0 , 2 . 2 Press or to select PRINT REPOR T?. 3 Press Set . 4 Press Star t . Call W aiting Caller ID The Call W aiting Caller ID feature lets you use the Call W aiting Caller ID service of fered by many local telephone companies.
47 SETUP RECEIVE Cop y Functions Y our F AX/MFC cannot scan anything closer than one-eighth inch from the edge of the paper . The default resolution for a single cop y is Super Fine. Set the resolution to PHO T O for photographs. 1 Place document face do wn in the feeder .
48 CHAPTER FIVE 1 Insert the document face do wn in the feeder . 2 Press Enlarge/Reduce . 3 Use or to choose a reduction ratio setting. 4 Press Copy — OR — Sort , if you want sorted copies. 5 Enter the number (1–99) of copies you want. F or example, press 9 for nine copies.
49 Bef ore Y ou Begin ■ Documents must be between 5.8 and 8.5 inches wide, and 5.9 and 23.7 inches long. Y our fax machine can only scan an image 8.2 inches wide, regardless of how wide the paper is. ■ Make sure you insert documents face down, top edge first .
50 CHAPTER SIX ■ Press Resolution (before you send the fax) to select the resolution for the document you’ r e sending. ■ DO NO T use curled, wrinkled, folded or ripped paper , or paper with staples, paper clips, paste or tape attached. DO NOT use cardboard, newspaper or fabric.
51 SETUP SEND Basic Sending Operations Composing Electr onic Co ver P age The cov er page is generated at the receiving par ty’ s machine. Y our cover page includes the name stored in the One T ouch or Speed Dial memory . If you’ re dialing manually , the name is left blank.

54 CHAPTER SIX Cover P age Message Y ou can set up two custom comments. Composing Y our Own Comments 1 Press F unctio n , 3 , 2 . The screen displays: CO VERP A GE MSG . 2 Use or to choose position 5 or 6 for your customized comment. 3 Press Set . 4 Use the dial pad to enter your customized comment (up to 27 characters).
55 SETUP SEND Resolution When you hav e a document in the feeder , you can use the Resolution key . Press Resolution continuously until you see your selection on the screen. Standard —suitable for most typed documents. Fine —good for small print; transmits a little slo wer than standard resolution.
56 CHAPTER SIX Quic k Scan Fax T ransmission Y ou can scan a fax into the F AX/MFC’ s memor y to be sent as soon as the scan is complete. This w ay , you don’t ha ve to wait for the entire fax to be transmitted before you retrieve your original.
57 SETUP SEND 6 Press Set when the screen displays your selection. The screen displays ACCEPTED 1.YES 2.NO OTHER SETTINGS? 7 Press 1 if you want to select additional settings. The display returns to the Setup Send menu— OR —Press 2 if you are finished choosing settings, and go to Step 8.
58 CHAPTER SIX 5 Press Set . The screen displays ACCEPTED 1.YES 2.NO OTHER SETTINGS? 6 Press 1 if you want to select additional settings. The display returns to the Setup Send menu— OR —Press 2 if you are finished choosing settings and go to Step 7.
59 SETUP SEND Next-Fax Reservation Even if your F AX/MFC is receiving another f ax, you can set your machine to send your fax next. This w ay , you don’ t hav e to wait for it to f inish sending or recei ving the other fax. Y ou can dial this fax call manually , or by using Redial, One T ouch, Speed Dial, or Chain dialing.
60 CHAPTER SIX Setting Up for P olling T ransmit Polling T ransmit is when y ou set up your F AX/MFC to wait with a document so another fax machine can retrieve it. 1 Place document to be retrie ved in the feeder . 2 Press F unctio n , 3 , 8 . 3 The screen displays SELECT < - - > & SET POLLED TX:OFF? 4 Press or to choose ON.
61 SETUP SEND Interrupting Dela yed F ax and P olling T ransmit Jobs Y ou can send a fax or make a copy no w , e ven if you hav e the F AX/MFC set to send a fax later , or if you ha ve it set to be polled. Ho we ver , you cannot use automatic redial or the function mode.

63 Storing Number s f or Easy Dialing Y ou can set up your F AX/MFC to do three types of easy dialing: One T ouch, Speed Dial, and Groups for Broadcasting of faxes. Storing One T ouch Dial Numbers Y ou can store eight fax/phone numbers that you can dial by pressing one ke y .
64 CHAPTER SEVEN 6 Press Set . The screen prompts y ou to select the type of number this is. Use or to select the type you want. FA X a fax only number TEL a telephone (voice) number F AX/TEL both a fax and telephone (voice) number CHAIN a number (usually an access code) for chain dialing.
65 SETUP A UT O DIA L NUMBERS 3 Press Set . The screen displays your entr y , then prompts you to enter the number you’ re storing . #05: ENTER & SET 4 Enter the number (up to 20 digits). 5 Press Set . The screen now prompts y ou to store a name with this number .
66 CHAPTER SEVEN Setting Up Groups f or Br oadcasting Groups allo w you to send the same fax message to many fax n umbers by pressing only one One T ouch key (Broadcasting). First , you’ ll need to store each fax number as a One T ouch or Speed Dial number .
Making V oice Calls Y ou can use your F AX/MFC to make voice telephone calls, by dialing manually , or by using T el-index, One T ouch or Speed Dial memory . Y ou can use the handset, or , if you ha ve the F AX 870MC or MFC 970MC, you can use the Speakerphone to make and receive calls.
68 CHAPTER EIGHT One T ouch Dialing 1 Pick up the handset— OR —Press Hook or Speaker Phone . 2 When you hear a dial tone, press the One T ouch key of the location you want to call. 3 If you pressed Hook to dial the call, pick up the handset when the other party answers.
69 TELEPHONE (V OICE) OPERA TION Pause Press Redial/Pause to insert a 3.5 second pause between numbers. T one/Pulse If you have pulse dialing service, but need to send tone signals (for telephone banking, for example), follo w the directions belo w . If you have touch tone service, you do not need this feature to send tone signals.

9 Re mo t e F a x Opt ion s (For F A X 770 O nl y) CHAPTER NINE 71 This chapter is for Models F AX 770. If you hav e model F AX 870MC or MFC 970MC, your remote fax options are handled by the Message Center . Please see Chapter 10, Message Center and Chapter 11, Message Center Pro.
72 CHAPTER NINE Pr ogramming Pa ging Number When Paging is selected, your F AX dials the pager number you’ ve programmed, and dials your Personal Identif ication Number (PIN) when connected, to activate your pager and let you know you have a fax message in the memory .
73 REMO TE F AX OPTIONS (FOR F AX 770 ONL Y) Setting F ax Stora g e If you set Fax Storage to ON , you will be able to retrie ve fax messages from another location, using Fax Forwarding, Paging, or Remote Retrieval functions. The screen will indicate when you ha ve a f ax stored in memory .
74 CHAPTER NINE Remote Retrieval Y ou can call your F AX from any touch tone phone (or remote Group 3 fax machine) and use a Remote Access Code and other button presses to retrieve fax messages. Using Remote Access Code 1 Dial your F AX phone number from a touch tone phone.
75 REMO TE F AX OPTIONS (FOR F AX 770 ONL Y) Program F ax F orward Number —Press 4 , then retrie ve Memory Status List (see page 76). T urn F ax Storage ON —Press 6 . T urn F ax Storage OFF —Press 7 . Retrieve a F ax Press 9 6 . Then to Print a Memory Status List —Press 1 .
76 CHAPTER NINE Retrieving Memory Status List Y ou can retriev e the Memory Status List from a remote fax machine to see if you hav e any fax messages. 1 Dial your fax number . 2 When you hear the beep, immediately enter your Remote Access Code ( 1 5 9 ).
77 REMO TE F AX OPTIONS (FOR F AX 770 ONL Y) Changing F ax Forwarding Number Y ou can change the default setting of your fax forwarding number from a remote fax machine. 1 Dial your fax number . 2 When you hear the beep, immediately enter your Remote Access Code ( 1 5 9 ).

79 Message Center Mode Message Center Mode allows you to store incoming f ax and voice messages in a fle xib le memor y . The memory stores 15 minutes of voice messages, or up to 20 pages of fax memory . An y voice or f ax message can be retriev ed remotely .
80 CHAPTER TEN 4. F AX:OFF V OICE:ON All memory is used to store voice messages—no fax messages will be stored. Incoming fax es will print on paper . Y ou can use the Paging feature, and retrieve voice messages remotely . 5. F AX:OFF V OICE:EXT Y ou need an external answering machine connected to the EXT jack for this setting.
81 MESSA GE CENTER (FO R F AX 870MC AND MFC 970MC ONL Y) Recor ding Message Center Outgoing Message Recording the Message Center Outgoing Message (MSG CTR OGM) is the second step you need to follow bef ore you can turn on the Message Center . Make sure your OGM is less than 20 seconds long.
82 CHAPTER TEN Activ ating Message Center Mode Press and hold until the screen displays MC:MSG CTR Message Indicator The Message light flashes when you hav e voice messages and/or f axes waiting for your re view . Once you listen to the message or print the fax, the light stops flashing.
83 MESSA GE CENTER (FO R F AX 870MC AND MFC 970MC ONL Y) Printing a Fax Messa ge Once you print a new f ax message stored in memory , it is erased from the memory automatically . 1 Press Play . After tw o seconds, the F AX/MFC begins to play v oice messages.
84 CHAPTER TEN T o erase voice messa ges individually 1 Press Play . After two seconds, the F AX/MFC beeps and begins message playback. Each message is preceded by one long beep, and followed by two short beeps. 2 T o erase a specif ic message, press Eras e immediately after the two short beeps, or while the message is playing.
85 MESSA GE CENTER (FO R F AX 870MC AND MFC 970MC ONL Y) Setting T oll Sa ver When you set the toll sav er feature, the F AX/MFC ans wer s after f our rings if you don’ t hav e messages, and after two rings if you do ha ve messages.
86 CHAPTER TEN Recording a Con ver sation Y ou can record a telephone con versation by pr essing R eco rd during the con versation. Y our recording can be as long as the Incoming Message Maximum T ime. Y ou and the other party will hear a beep e very 15 seconds while recording.
