7 I nt r oduct i o n Thank you for choosing a BT product. W e expect that you will have many years of excellent ser vice fr om it. Y our BT On-Air DECTf@x Plus machine is designed for ease of use and built to the high standards demanded by BT . Please read these instr uctions carefully before use and r etain this user guide for future r eference.
S ett i n g u p Follow these steps to get your BT On-Air DECTf@x Plus ready to use 8 1 Co n ne ct i n g t h e r a d io m odu le The radio module acts as a transmitter and receiver for radio signals to and fr om the handset(s). It goes at the back of the machine on the right-hand side as you face it.
2 T ur n your machine upside down. Connect the power supply cable (1) to the socket (2). Inser t the power supply cord (3) to the guide groove (4). T ur n your machine back over . Connect the mains plug to a wall socket. 3 When the mains power is switched on the display shows CHECK DATE to prompt you to set the cor r ect date and time.
Setting up 10 Install the battery in the handset and charge them for at least 16 hours. Slide of f the batter y cover and install the batter y . Replace the batter y cover . When the batter y has been charged for at least 16 hours the display will show the symbol.
Setting up 11 T o print out a list of all the functions of the On- Air DECTf@x Plus, which allows you to see them at a glance, along with the function codes to car r y them out, see ‘ Pr i nt i n g ou t t h e fu nct io ns l ist ’ on page 45.
Setting up 12 C o nn ec ting to a s w i tch boar d Y our BT On-Air DECTf@x Plus has been preset to work on a dir ect exchange line (PSTN). Y ou will not normally need to alter this setting unless you will be connecting the machine to a switchboard, or PABX.
Setting up 13 2 Press OK/Menu , the display shows WITHOUT and WITH . 3 Move the cursor to WITH and press OK/Menu to confir m the entr y . The display shows ENTER PREFIX . 4 Enter the required pr efix and press OK/Menu to confir m the entr y . The display shows NUMBER LENGTH .
Setting up 14 6 S ett i n g t h e r e c e iv e m ode Y ou can set your On-Air DECTf@x Plus to answer calls automatically or manually . There are two auto answer modes, to allow you to receive just telephone calls and faxes or telephone calls, faxes and voice messages.
Using your fax machine 15 Us i n g y o u r f ax m ac h i ne S e nd i n g a f ax To send a fax 1 Open the sheet feeder flap (if not already open) and raise the document suppor t bar . 2 Place the document(s) face down into the document feeder and adjust the left-hand guide (a) to the width of the paper if necessar y .
R e solu ti o n Y ou can adjust the resolution at which your On- Air DECTf@x Plus sends documents. There ar e three settings: Res o l ut io n Us e wit h Normal Documents which do not (Default) contain fine detail eg a page of text Fine Documents which include small characters or drawings Photo Documents which include pictures.
Using your fax machine 17 De la ye d s e n d a nd b ro a dc ast i n g This allows you to send a fax automatically at a preset time, within the next 24 hours. It also allows you to send a fax to up to 10 dif ferent numbers. To use delayed send and broadcasting 1 Enter the number that you want to send to.
Using your fax machine 18 This will be printed as a message on the header page and can be up to 800 characters. WITHOUT PAGE The document is sent without a header sheet. Press OK/Menu to confir m your selection. 8 If you selected MEMORY or PAPER FEEDER , the display will now show NB PAGES .
Using your fax machine 19 2 Press OK/Menu . The display shows two options: YES Incoming faxes are stored in the memory, even if there is paper in the sheet feeder. This is the default setting. NO Incoming faxes are printed as they are received. If there is no paper in the sheet feeder, the faxes are stored in the memory.
To store a number in the directory 1 Press OK/Menu then 1 then 1 . The display shows 11 ADD NAME . 2 Press OK/Menu . The displays shows NAME . Enter the recipient’s name using the alphabetic keypad. 3 Press OK/Menu . The displays shows NUMBER . Enter the recipient’s number using the numerical keypad.
Using your fax machine 21 To dial a number stored in the directory This can be to send a fax or to make a hands free phone call. 1 Enter the first few letters of the recipient’s name using the alphabetical keypad. For example, if you want to call YOUNG enter Y .
To edit numbers stored in the directory Y ou now have the oppor tunity to record a shor t message which will be played over the speaker of your machine when you receive a call fr om this caller (you have to subscribe to a Caller Display ser vice to use this featur e).
Using your fax machine 23 • If you choose WITHOUT MEMO , the display now shows PHONE CALL and FAX CALL (if there was a voice message associated with the recor d, it is deleted). 7 At this point, you can customise the ringing tone for calls received fr om this contact.
Act ivit y Re p or t s The On-Air DECTf@x Plus will recor d details of the last 30 fax transactions. To manually request fax details • Press OK/Menu then 5 then 2 then OK/Menu . Po ll i ng Polling is an operation in which another fax machine retrieves a fax fr om your machine, or your machine retrieves a fax fr om another machine.
Using your fax machine 25 MULTI POLLING The document can be polled indefinitely until deleted from the memory (see ‘ To cancel a timed job ’ on page 26). 5 Use the ¶ and Ä buttons to scroll through the options and press OK/Menu to select the option.
5 T o set your machine to poll at a specified time, press OK/Menu , enter the polling time and press OK/Menu to confirm the entr y . Ti m ed j obs Y ou can set your On-Air DECTf@x Plus to manage timed jobs like delayed send, broadcasting and polling.
Using your fax machine 27 It can be helpful to print out a document in order to check it. To start a timed job immediately 1 Press OK/Menu then 8 then 4 then 1 . The display shows 841 START JOB . 2 Press OK/Menu to bring up the list of timed jobs. 3 Use the ¶ and Ä buttons to scroll through the jobs.
28 Us i n g y o u r h a n ds et S w i tching the h a n d s e t o n and of f Y our handset must be switched on before you can use it to make or receive calls. To switch the handset on 1 Press the green button. The display shows the handset number . Y ou can now make and receive calls.
Using your handset 29 4 T o end the call, pr ess the red button. Y ou can dial the number b e for e pr essing the green button: 1 Dial the number you want to call. Use the C button to delete numbers to make sure you don’t dial a wr ong number . 2 Press the green button.
Using your handset 30 3 Press OK to confir m your choice. The handset beeps. Ea rpi e c e v o l u me To adjust the volume in the earpiece 1 During a phone conversation, press ▲ to increase the volume and ▼ to decrease it. Secr ec y While making a call you can stop the other person hearing you talk to someone in the same room as you.
To adjust the ring volume Y our On-Air DECTf@x Plus handset has four ring volume settings. 1 Press OK then 2 . 2 Use the ▲ and the ▼ buttons to choose the volume setting you want. 3 Press OK to confir m your choice. To switch off the ring tone 1 Press OK then 1 .
Using your handset 32 To change a stored number 1 Press the ▲ or the ▼ button. 2 Enter the two-digit memor y number or scroll through the stor ed numbers until you reach the phone number you r equire. 3 Press OK when you have the number displayed then use C to delete the number .
Cal l t i m er After you have finished a call you can check the length of the call. To check the duration of a call 1 When you have finished a call, press the C button. The display shows the length of the call in hours, minutes and seconds. The display will retur n to normal after a few seconds.
34 Ans w er m ode Y our On-Air DECTf@x Plus also operates as an answering machine. The answering machine has two basic modes: Answer and The answering machine plays record your outgoing message and then callers can leave a message or send a fax. Answer only The answering machine plays your outgoing message then switches to fax receive mode.
Using the answering machine 35 To record an outgoing message for Answer and record mode This message can be up to 20 seconds long. 1 At t h e b as e s t at io n - Pr ess OK/Menu then 4 then 1 . The display shows 41 RECORD OGM . 2 Press OK/Menu . The display shows 411 OGM .
If you have any mailboxes set up, the base station will ask you for a mailbox number. To play messages in the main memory, press 0 . Using the answering machine 36 List e n i n g t o y ou r m es s ag es If you have received any messages the PLAY light will light up and the display will show the total number of messages received.
Using the answering machine 37 At t h e ha nds et To listen to your messages • Press INT , then 7 . Y our messages are played back to you. When all your messages have been played the machine beeps twice. See also ‘ Operating the answering machine from the handset ’ on page 38.
Using the answering machine 38 4 Press the red button on the handset to stop recor ding. 5 Press Stop at the base station to r etur n to standby . The PLAY light will flash and the display will show that a new message has been recor ded.
39 The Inter net functions allow you to send faxes to an E-Mail address, send E-Mails to an E-Mail address and to send voice-mails to an E-Mail address.
Using Internet functions 40 6 Press the § button to delete the existing entr y and then enter your new passwor d. 7 Press OK/Menu to confir m the entr y . The display shows E-MAILADDR . 8 Press the § button to delete the existing entr y and then enter your new email address.

Using Internet functions 43 4 Press the @ button. Sending E-mail to an E-Mail address Y ou can send a message entered on the keyboard to an electr onic mailbox: 1 Press the @ button or OK/Menu then 9 then 3 then OK/Menu . or 2 Enter the E-mail address and press OK/Menu to confirm.
Using Internet functions 44 PRINTING E-MAILS AND FAXES RECEIVED VIA THE INTERNET T o print your faxes or E-mail messages, use the same procedur e as for a fax: press the Fax button.

Using Internet functions 48 . TO MY E-MAIL , to transfer all your messages to your E-Mail addresses (shared with a computer for example), . TO OTHER ADD : enter the recipient E-Mail address. The connection can be programmed one or several times a day: Y ou define how many times per day the unit should connect to the Inter net.
Using Internet functions 49 3 T ype the W eb site address, e.g.: www .bt.com (you don’t nor mally need to type the “http://”) and press OK/Menu to confir m. The display shows MANUAL ACCESS and AUTO ACCESS . 4 Y ou can now choose to print out the W eb page: • on request - select MANUAL ACCESS .
Using Internet functions 50 3 Edit the name and press OK/Menu to confir m, the display shows WEB ADDRESS . 4 Edit the address and pr ess OK/Menu to confir m, the display shows MANUAL ACCESS and AUTO ACCESS . 5 Select either manual or auto and press OK/Menu to confir m.
Using Internet functions 51 3 Use the ▲ and ▼ buttons to scroll to the next name you want and press OK/Menu to confir m. Repeat the procedure for all the other names (up to 10). 4 When you have selected the last name, press OK/Menu again. The display shows DAYS and MTWTFSS .
Using Internet functions 52 Manually entering the address 1 Press the @ button, the display shows ADDRESS . 2 T ype in the W eb site addr ess (e.g. www .bt.com) and press the @ button to confir m. Y our fax automatically retrieves and prints out the relevant W eb page.
5 Press OK/Menu . The display shows 712 REMOTE ACCES . 6 Press OK/Menu . The display shows two options: WITH The security code is required to access your mailbox. WITHOUT The security code is not required to access your mailbox. Use the ¶ and Ä buttons to switch between the two options.
Using mailboxes 54 8 Press OK/Menu , the display shows HANDSET NUMBER and 0 . Enter the number of the handset (this is shown in the handset display) or leave it at 0 if you don’t want a dedicated handset. To delete a mailbox 1 Press OK/Menu then 7 then 2 .
F rom th e ha nd s e t Y ou can access voice messages in mailboxes using the handset that has been dedicated to that mailbox. 1 Press the INT button then 7 .
56 Mu lt i pl e r egis t r at io n Y ou can use up to 4 handsets with your On-Air DECTf@x Plus base station. A handset can be register ed with up to 4 DECT base stations. For each handset to interact with the base station, they must be register ed with it.
Th e cust o mis ed m et hod Use this method if you: Have set the base station handset security code to a number other than 0000. W ant to register a handset to mor e than one base station. W ant to allocate a handset with a handset number other than the next sequential one.
Using additional handsets 58 To prioritise a base station Y ou can set a handset to give priority to a par ticular base station, so that it will always link up to that base station first if it is in range. 1 Press OK then 7 on the handset, then use the ▲ and ▼ buttons to select the base station number you want to prioritise.
Using additional handsets 59 3 Press the green button. 4 At t h e ot h er h a nds et - press the green button to connect the inter nal call. The two handsets can now talk to each other while the exter nal caller is on hold. 5 At t h e f i rst ha nds et - press the red button to end the inter nal call.
60 R emo te a cces s Y our On-Air DECTf@x Plus enables you to access your stored faxes and messages remotely (from another phone) by dialling your number and using the numerical keypad to control the machine. Re mot e acc es s c odes T o pr otect your messages you must set up a remote access code.

Additional features 62 Pr i nt i n g t h e f ax d i r e ct ory This allows you to print out the names and numbers stored in the fax dir ector y . 1 Press OK/Menu then 1 then 2 . The display shows 12 PRINT . 2 Press OK/Menu . The fax dir ector y will print out in alphabetical order .
Additional features 63 To cancel the alarm 1 Press OK/Menu then 8 then 1 . The display shows 81 ALARM . 2 Press OK/Menu . Press the Ä button to move down to STOP . 3 Press OK/Menu to deactivate the alar m. I n k gau g e To see how much print ribbon there is left 1 Press OK/Menu then 5 then 9 .
Additional features 64 If a new call is from the same number as an earlier call only the later call details will be stored. Number W ithheld, Number Unavailable, Operator and Inter national calls will not be stored. The list of stored call details can be r eviewed from the base station and from the handset.

Replacing the print ribbon and smartcard The print ribbon and the smar tcard work together , and the fax will not work without the smar tcard. The print ribbon prints onto paper and the smar tcard monitors how much ribbon has been used. Replacing the print ribbon 1 Pull the front cover towar ds you until it clicks and holds itself open.
4 Press out the new smar tcar d (3) (pre-cut). 5 Inser t the new smar tcard (3) into its suppor t. Make cer tain that the chip (4) of the smar tcard (3) is positioned upwar ds, with its bevelled cor ner on the left. 6 Retur n the smar tcar d suppor t to its closed position in the front cover .
Help 68 Blank unit display. The unit does not answer incoming calls after several rings. Blank photocopies. The telephone exchange does not recognise the number dialled. The terminal does not ring. The telephone does not work. One or more vertical black lines on documents copied locally or sent.
