1 DIGIT AL VOICE RECORDER DS-320 INSTRUCTIONS Please read these instructions for information about using the product correctly and safely . Keep the instructions handy for future reference. T o ensure successful recordings, we recommend that you test the record function and volume before use.
2 Thank you for purchasing the Olympus Digital V oice Recorder DS-320. Before using your new recorder , read this manual carefully to ensure that you know how to operate it safely and correctly . Keep this manual in an easily accessible location for future reference.
3 Batteries W arning • Batteries should never be exposed to flame, heated, short-circuited or disassembled. • Do not attempt to recharge alkaline, lithium or any other non-rechargeable batteries. • Never use any battery with a torn or cracked outer cover .

6 DS-320 Main Features DS-320 Main Features Summary of product features: ● The DS-320 digital voice recorder stores highly compressed DSS format voice messages in 16MB integrated flash memory . ● The DS-320 supports two recording modes: SP (Standard Playback) mode and LP (Long Playback) mode.

9 1 Slide open the battery cover . 2 Insert two AAA alkaline batteries, observing the correct polarity . 3 Close the battery cover completely . The display will show the current date and time setting for 1 second before appearing as shown at right. ..
10 Replacing Batteries If begins to flash on the display , stop the recorder and replace both batteries as soon as possible. If [BA TT] and appear on the display , the recorder will stop and will not operate. Replace both batteries immediately . If the recorder fails to work properly after the batteries are replaced, see “Reset” on page 33.
11 SP DICT INDEX/ FOLDER R E C S TO P ERASE M EN U /VO L STOP button MENU/VOL switch All of your recorded messages will be stamped with the time and date that you finished recording. This feature is useful to manage your recordings. If the time and date are not set, this information will be inaccurate.
12 Setting Time/Date 1 Press the MENU/ VOL switch. The menu appears on the display . 2 Move the MENU/ VOL switch up to choose the screen with the flashing date/time indicator . 3 Press the MENU/ VOL switch. The year cursor will flash. 4 Move the MENU/ VOL switch up or down to set the year .
13 Setting an ID Setting an ID If an ID is set, it is automatically included in each message to help identify who recorded the message when it is transferred to a PC. Setting IDs is recommended for easier management of recorded messages. T o set an ID, stop the recorder and follow these steps: 1 Press the MENU/VOL switch.
14 Recording Recording 1 Press the INDEX/FOLDER button to choose a folder . The INDEX/FOLDER button toggles between folder A and folder B each time you press it. 2 Press the REC button to start recording. The recorder starts recording, and “REC” appears on the display for 2 seconds.
15 Recording Settings While the recorder is designed to record messages without requiring special settings, it offers a LP mode for long recordings, a DICT mode for dictation, and a V ariable Control V oice Actuator (VCV A) to economize on memory usage.
16 Recording Recording Insert recording Y ou can insert recordings into previously recorded messages. 1 Press the INDEX/FOLDER button to choose a folder . 2 Move the MENU/VOL switch down to choose the message into which you want to insert recording. 3 Press the PLA Y button to play the message.
17 Recording 9 Press the REC button. The insert recording starts. 10 Press the STOP button. The insert recording stops. ................................................................................................ Notes • Insert mode is only valid for one action.
18 Playing and V olume Control Playing and V olume Control 1 Press the INDEX/FOLDER button to choose a folder . 2 Move the MENU/VOL switch up or down to choose the message you want to play . The time and date when the message was recorded are displayed.
19 ERASE SP DICT INDEX/ FOLDER MENU /VOL Playing and V olume Control V olume Control Move the MENU/VOL switch up or down while playing a message. Moving the switch will show the current volume setting (0 to 30) on the display . Moving the MENU/VOL switch up increases the volume.
20 Playing and V olume Control Operation Press the PLA Y button for 1 second or longer while playing a message. Press the FF button while stopped. Press the REW button while stopped. Press and hold the FF button while playing a message. Hold the REW button while playing a message.
21 Erasing Erasing 1 Press the INDEX/FOLDER button to choose the folder containing the message you want to erase. 2 Move the MENU/VOL switch up or down to choose the number of the message you want to erase. 3 Press the ERASE button for 1 second or longer .
22 Erasing Erasing Erase All Messages from a Folder All files in a folder can be erased simultaneously . 1 Press the INDEX/FOLDER button to choose the folder containing the messages you want to erase. 2 Press the MENU/VOL switch. 3 Move the MENU/VOL switch up to choose “ ERASE ALL ” .
23 Erasing T o Partially Erase a Message Y ou can select part of a message to erase. 1 Press the INDEX/FOLDER button to choose a folder. 2 Move the MENU/VOL switch up or down to choose the message you want to partially erase. 3 Press the PLA Y button to play the message.
24 Erasing 9 Press the ERASE button for 1 second or longer . “ OK ” appears on the display when the partial erasure is finished. Remaining recording time is extended for about the length of the partial erasure. ....................................
25 Recording Modes Recording Modes The recorder provides approximately 2 hours and 30 minutes of continuous recording* in SP mode and approximately 5 hours and 20 minutes* in LP mode. The default is SP mode. SP mode: Standard Playback mode LP mode: Long Playback mode *Recording time may be reduced if many short messages are recorded.
26 Microphone Sensitivity Microphone Sensitivity The sensitivity of the built-in microphone is adjustable to suit recording needs. CONF (conference recording): High-sensitivity mode that records sounds from all directions. DICT (dictation recording): Low-sensitivity mode suitable for dictation.
27 Using the V ariable Control V oice Actuator (VCV A) Using the V ariable Control V oice Actuator (VCV A) When the microphone senses that sounds have reached a preset volume, the built-in V ariable Control V oice Actuator (VCV A) starts recording automatically , and stops when the volume drops.
28 Using the V ariable Control V oice Actuator (VCV A)/ Dictation Mode ERASE SP DICT INDEX/ FOLDER MENU /VOL Dictation Mode Simply pressing the SP DICT button sets up the recorder for dictating or for recording messages to be transferred to a PC for speech-to-text conversion using voice recognition software.
29 Index Marks Index Marks Press the INDEX/FOLDER button when the recorder is recording or paused while recording. An index mark appears on the display , along with “ INDX ” , and the record indicator lamp flashes.
30 T ransferring Messages T ransferring Messages A recorded message can be transferred from one folder to the other . The file is added as the last message in the destination folder . 1 Press the INDEX/FOLDER button to choose the folder containing the message you want to move.
31 System Sounds (Alarms) System Sounds (Alarms) The recorder beeps to alert you to button operations or to warn you of errors. System sounds may be turned off. 1 Press the MENU/VOL switch. 2 Move the MENU/VOL switch down to choose “ ALARM ” . 3 Press the MENU/VOL switch to choose “ ON ” or “ OFF ” .
32 Formatting Formatting If you want to initialize the built-in flash memory to its factory defaults, follow these steps: 1 Press the MENU/VOL switch. 2 Move the MENU/VOL switch up or down to choose “ FORMA T ” . “ YES? ” will flash. 3 Press the ERASE button for 1 second or longer .
33 Reset If the display or the recorder acts strangely , lightly press the reset button in the battery compartment with the tip of a ballpoint pen or a similar object. Notes • Do not use a sharp object such as a needle. • Pressing the reset button may cause the clock to change.

39 Installing DSS Player Software Installing DSS Player Software In order to use the PC link functions, you must first install DSS Player and IBM ViaV oice in your PC. • When running Windows NT4/2000 through a network connection, it is required to log in as the Administrator or under a user name designated as an Administrator .
40 Installing IBM ViaV oice Software Installation Options Select the install Options. T o clear an Option, click on the tick mark in the box. Select the option, if available, to install ViaV oice support for Microsoft Office only if you have Microsoft Office 97 or Of fice 2000 programs installed on your computer .
41 Installing IBM ViaV oice Software Adobe ® Acrobat ® Reader If Adobe Acrobat Reader is not already installed on your computer , select the option to have ViaV oice automatically start the Adobe Acrobat Reader installation program. Adobe Acrobat Reader enables you to view the ViaV oice Command Reference.
42 Setting Up Y our Microphone and Audio System for IBM ViaV oice Setting Up Y our Microphone and Audio System for IBM V iaV oice Woody appears if you placed V oiceCentre in your StartUp folder . If Woody does not appear , start V oiceCentre by clicking [Start] ➔ [Programs] ➔ [IBM ViaV oice V oiceCentre].
43 Audio Setup Wizard This wizard presents several windows to help you set up your microphone. We recommend that you use the microphone that comes with the product until you are thoroughly comfortable with your speech system. The Audio Setup Wizard will prompt you to identify the type of microphone and components you have.
44 Creating a V oice Model Creating a V oice Model Y ou must give V iaV oice a sample of your voice so that it can understand you. The User Wizard makes it easy for you to do this. When you see this window , click <Start>, then read aloud the text in the box, speaking in a normal style.
45 When ViaV oice has enough recorded data, you will see the Story Finished window . Click <Analyse> to have ViaV oice create your voice model. However , if you have a strong regional accent, we recommend that you click <Continue Reading> so that you can record more sentences, giving ViaV oice more data for analysis.
46 Y ou see this window after clicking <Analyse>. Wait until V iaV oice has fully processed your recording before turning of f your computer or working with other processing-intensive programs.
47 Connecting the Digital V oice Recorder DS-320 1 2 Connecting the Digital V oice Recorder DS-320 Before connecting the KP3 serial connection cable to the DS-320 digital voice recorder ,make sure that the HOLD switch is released and that the recorder is in stop mode.
48 Starting DSS Player Start DSS Player as described below . • The following procedure assumes that DSS Player is installed in the PC. For installation, see “Installing DSS Player Software”. 1 Start Windows. 2 Connect the DS-320 digital voice recorder .
49 Selected File Downloading Window Selected File Downloading Window V oice files can be selected and downloaded using the downloading window , which is displayed immediately after the startup. • T o display the main window immediately after start up, open the [Option] menu and uncheck [Open Download Window After Start].

52 V oice File Playback Procedure V oice File Playback Procedure T o play back a voice file. 1 Select the folder . From [Active Folder], select the folder containing the voice file you want to play back. The illustration shows the display when “C:ProgramFilesOlympusDssPly32 MessageFolder_A” has been selected.
53 Sending V oice Files by E-mail V oice files can be sent by E-mail, simply by attaching them to an e-mail message created with your e-mail software. Attach voice files as described below . For details on sending e-mail, refer to the instructions of your e-mail software.
54 V oice Recognition V oice files can be converted into text with IBM ViaV oice. Input Device Setup T o perform voice recognition of DSS-format files recorded with the DS-320 digital voice recorder, you first have to set up the input device for the DS-320 digital voice recorder with IBM ViaV oice.
55 • It is sometimes necessary to input voice during audio setup or enrolling. T o enable voice input, turn on the microphone while pressing and holding the SP DICT mode button on the DS-320 digital voice recorder .
56 When you have finished reading the text aloud, ViaV oice displays the Choosing a Story window . Select the story that you want to read aloud for creating your voice model. If the story you want has two parts, select Part 1 first. Read the story aloud, speaking in a normal tone of voice.
57 Executing V oice Recognition Start voice recognition as described below . Click the [Start V oice Recognition] icon . The voice recognition software window appears and voice recognition starts. • For more details on the functions of IBM ViaV oice (such as correction of converted characters), refer to the ViaV oice’s online help.
58 Converting File Formats/ Uninstalling DSS Player or IBM V iaV oice Converting File Formats Use the [Save As] command in the [File] menu. T o convert a voice file into the WA VE format, select [W A V File] as the file type. When a voice file is converted into the W A VE format, proprietary DSS format data (priority , index marking, etc.
59 T roubleshooting/ T echnical Assistance and Support Possible Causes Insufficient hard disk capacity . A connection cable is unplugged. DSS Player is not installed. The HOLD switch of the DS-320 is set to HOLD. The speaker or headphone volume is set too low .
