xi About this manual The T OSHIBA GA-1040 ™ is a special-purpose controller built into the copier. This manual is intended for anyone who is responsible for integrating the T OSHIBA GA-1040 into a business environment that includes networked personal computers.

1 1-10 Connecting to the Network Bef ore y ou begin The following steps should be completed before y ou configure the GA-1040 and the workstations that will print to the GA-1040. A service technician will have performed some initial installation. T O PREPARE FOR GA-1040 CONFIGURATION 1.
1 1-11 Ethernet cable connection Ethernet cable connection The GA-1040 supports Ethernet cabling with U nshielded T wisted P air (UTP) cable and Shielded T wisted P air (STP), defined as Categor y 5 for use with 100BaseT or defined as Category 3 or Categor y 5 for use with 10BaseT .
1 1-12 Connecting to the Network P arallel cable connection In addition to receiving print jobs o ver Ethernet, the GA-1040 can accept print jobs from a W indows computer through its high-speed parallel port.
2 2-1 About GA -1040 Setup The GA-1040 fits into a variety of work environments. T o prepare for printing at your site, you need to do some initial configuration to specify the network environment and the kind of printing you will do.
2 2-2 Setting up the GA -1040 GA -1040 Setup from the T ouch P anel Display Setup performed from the T ouch P anel Display after pow ering on or rebooting the GA-1040 configures the GA-1040 to communicate with other devices and manage print jobs sent to it.
2 2-3 GA -1040 Setup from the T ouch Panel Display Accessing Setup options The T ouch P anel Display (on the Control P anel on the front of the copier) enables you to set options and view information about jobs printed to the GA-1040. The T ouch P anel Display also displays status information and Setup options.

2 2-7 Print Default options Print Banner Page Yes/No [No] U se this option to print a banner page before each job. Use Character Set Macintosh/DOS/Windows [Windows] U se this option to specify whether the T ouch P anel Display should use the Macintosh, DOS, or Windo ws character set for displaying filenames.
2 2-8 Setting up the GA -1040 Copies Number of Copies 1-999 [1] This option sets the default number of copies of a document to print. P aper Paper Size LT/LG... A3/A4/A5... [LT (Letter) in the United States, A4 elsewhere] Specify the default paper siz es.
2 2-9 Print Default options Destination Destination Auto Select/Inner Tray/Tray1/Tray2 Specify the destination for printed output. Duplex Duplex Simplex/Book/Tablet [Simplex] Duplexing allows printing on both sides of the paper . The Book setting prints the top of the image on side 1 on the same edge of the page as the top of the image on side 2.
2 2-10 Setting up the GA -1040 P ort Setup Y ou can enable parallel communication simultaneously with Ethernet. T o configure the GA-1040, choose each port type you use and enter the settings for that port. The options appear in sequence, as described below .
2 2-11 Protocol Setup Time Out 1-300 [30] This option determines how long the GA-1040 waits without receiving data fr om the parallel port before deciding that the current job is complete. U ntil the timeout, the GA-1040 cannot receive new jobs through the parallel port, but it can continue to receive network print jobs.
2 2-12 Setting up the GA -1040 For each item you enable, you are prompted to enter settings pertaining to that item. You specify network addresses and names to be used by workstations, servers, and the GA-1040 when they communicate with each other.
2 2-13 Protocol Setup Enable Auto IP Enable/Disable [Enable] Y ou can allow the GA-1040 to obtain its Ethernet IP address b y searching the network. Depending on your network and the protocol y ou select in the following option (DHCP , BOOTP , or RARP), the IP address can change.
2 2-14 Setting up the GA -1040 Gatew ay Enable Auto IP Enable/Disable [Enable] U se this option to get the gate way address automatically for printing with TCP/IP . Gateway Address This option appears only if you did not enable Auto IP (G ate way), or if you selected RARP as the protocol.
2 2-15 Protocol Setup Because you can set up more than one N ovell server to handle GA-1040 print jobs, additional options are pro vided for this purpose. File Server Enter the name of the server on which you have configured a print server and print queue to handle GA-1040 print jobs.
2 2-16 Setting up the GA -1040 NDS Tree Enter the name of the NDS tree that contains the P rinter , P rint Server , and print queue objects you have previously defined on the N etW are ser ver for the GA-1040. Y our new NDS tree selection automatically overwrites any previous tree selection.
2 2-17 PCL Setup Emulation Auto/PCL/PS [Auto Select] In PCL or PS mode, the GA-1040 is restricted to PCL or P ostScript jobs, respectively . J obs sent to the GA-1040 that do not match the mode (or personality ) selected on the GA-1040 are not printed.
2 2-18 Setting up the GA -1040 Symbol Set Symbol Set Roman-8/ISO L1/PC-8... [Roman-8] This option lets you choose the symbol set that best matches the needs of users printing to the GA-1040. Font Setup Font Number 0-999 [0] The font number designates the default font for the GA-1040.
2 2-19 PS Setup Left [5mm or 0.20in] Set the default left margin. Unit mm/inch [mm] Select the unit of measurement to use with the numbers y ou entered for the T op and Left margins. PS Setup PS (P ostScript) Setup options allow y ou to set defaults for GA-1040 behavior .
2 2-20 Setting up the GA -1040 Convert Paper Size No LT->A4 A4->LT [No] Specify whether to conv er t paper sizes in documents automatically to the default paper sizes specified. If you select N o, the GA-1040 prints the document only if it finds a paper source in the size specified by the file.

2 2-22 Setting up the GA -1040 Changing the GA -1040 passwor d Y ou can set or change the Administrator password for using T opAccess with the GA-1040. This password allows a user to modify the S etup options. When the GA-1040 is installed, there is no password.
3 3-1 Starting T opAccess f or Administr ator After you have performed initial Setup from the T ouch P anel Display, you can complete or change most Setup options with T opAccess from a web bro wser . Starting T opAccess f or Administr ator T O PERFORM S ETUP FROM T OP A CCESS 1.
3 3-2 Setting up the GA -1040 from T opAccess 3. Click a Setup in the list on the left-hand side of the windo w . Choose “Other ” for maintenance tasks such as printing system pages, setting passwords, changing the web link destination, r estoring the GA-1040 to factor y defaults, clearing queued jobs, and resetting the printer hardwar e.
3 3-3 T opAccess Setup options T opAccess Setup options T opAccess Setup allows you to configur e basic printing behavior of the GA-1040, to manage the J ob Log, and to define the system language and suppor t contacts. T opAccess Setup Installation Site —Enter the name of the department or site.
3 3-4 Setting up the GA -1040 from T opAccess Print Banner P age —Specify whether the GA-1040 should print a banner page at the end of each print job. Job List Order —S pecify the order in which jobs are displayed in the J ob Status, P rivate, Stor ed Job , P rint Log, and P rint Jobs List.
3 3-5 Network Setup options Support U se the Support tab to enter names, phone numbers, and e-mail addresses of contact people at your organization who pro vide support for the GA-1040 and the copier. Network Setup options N etwork Setup configures the GA-1040 to receive print jobs o ver the network systems that will be used at your site.
3 3-6 Setting up the GA -1040 from T opAccess Ethernet MAC A ddress —This is the MAC address of the E thernet por t; the information cannot be changed. Tr ansmission Speed —Select Auto if your network envir onment is mixed, or select the speed of the network to which the GA-1040 is attached.
3 3-7 Network Setup options Depending on your network, the GA-1040 might be assigned a differ ent address after you reboot the GA-1040. With the DHCP setting, the GA-1040 can be assigned a different address ev en if it is not rebooted. Make sur e the network is already configured properly for the protocol you select.
3 3-8 Setting up the GA -1040 from T opAccess NetW are Setup N etW are Setup allows you to enter the names of the N etW are objects that are concerned with GA-1040 print jobs. Y ou specify the N etW are print queues assigned to the N ovell print servers you have set up for printing to the GA-1040.
3 3-9 Network Setup options Y our new NDS tree selection automatically overwrites any previous tree selection. If you change the NDS tree selection and ther e are also current Bindery settings, they will be deleted. If you continue with NDS Setup , you can replace Bindery settings afterwards.
3 3-10 Setting up the GA -1040 from T opAccess Other Setup options In the Other S etup window , you can set up Windo ws printing, LPD printing, and P ort 9100 printing. Window s Printing Windows S etup enables the Microsoft SMB protocol, which supports peer to peer printing, also known as Windows printing.
3 3-11 Printer Setup options IP Addr ess —Enter the IP address of the WINS N ame Server . LPD Setup Enable LPD Printing Services —Select this option to allo w lpd printing on T CP/IP networks. P ort 9100 Setup P ort 9100 Setup allows users to do wnload jobs to a print connection on the GA-1040.
3 3-12 Setting up the GA -1040 from T opAccess Printer Setup Number of Copies —S pecify the default number of copies of a document to print. P age Size —Specify the default page size for jobs. P aper Source —Select the paper source for print jobs.
3 3-13 Printer Setup options Symbol Set —This option lets you choose the symbol set that best matches the needs of users printing to the GA-1040. Font Number —The font number designates the default font for the GA-1040.
3 3-14 Setting up the GA -1040 from T opAccess Queue Publish Print Queue —This option enables users to print (or download) jobs to the P rint queue. Jobs printed to the P rint queue are spooled to the GA-1040 disk and printed on a first-in, first-out basis.
3 3-15 Printing GA -1040 system pages T O PRINT GA-1040 SYSTEM PAGES 1. In the menu bar on the left-hand side of the main T opAccess window , click Other . 2. Click the T est Print tab . 3. Select the pages you w ant to print. 4. Click Print. Post the current Setting List near the GA-1040 for quick reference.
3 3-16 Setting up the GA -1040 from T opAccess Changing the GA -1040 passwor d Y ou can set or change the Administrator and Operator passwords. The Administrator password allo ws you to modify the GA-1040 Setup options from T opAccess as well as from the T ouch P anel Display; the Operator passwor d allows you to manage jobs.
3 3-17 Changing the T opAccess w eblink Changing the T opAccess weblink The pre-set T opAccess W ebLink destination can be changed. T O CHANGE THE W EB L INK DESTINATION 1. In the menu bar on the left-hand side of the main T opAccess window , click Other .
3 3-18 Setting up the GA -1040 from T opAccess Resetting the GA -1040 Resetting the GA-1040 refers to tasks that help y ou troubleshoot problems: Restor e Defaults, Clear Server , and Printer R eset. Restoring the GA -1040 to factory def aults Choose Restore D efaults to return the GA-1040 to its default factory settings.
4 4-1 Accessing Setup With the optional Command W orkStation softwar e, you can complete or change most Setup options from a Windows computer . Y ou can use the Command W orkStation only if the copier has the HDD option installed. Accessing Setup Y ou can access GA-1040 Setup from the Command W orkStation.
4 4-2 Setting up the GA -1040 from a Window s Computer Server Setup F rom this window , you can access Server Setup , P asswords, J ob Log Setup, and Support. Server Setup Server Name —S pecify a name for the GA-1040. This is the name that appears in the Chooser on an AppleT alk network.
4 4-3 Server Setup Use Character Set —S pecify whether the T ouch P anel Display and the job management tools should use the Macintosh, DOS, or Windows character set for displaying filenames. This is important if a filename includes accented or composite characters (such as é or æ).
4 4-4 Setting up the GA -1040 from a Window s Computer T O SET OR CHANGE PASSWORDS 1. Select the passwor d you want to change . 2. Type the passw ord in both the Enter New P assword and the V erify New P assword fields . P asswords are case-sensitive.
4 4-5 Server Setup Auto Print Job Log Ev ery 55 Jobs —Specify whether the GA-1040 prints the Job Log after every 55 jobs. The Job Log lists the last 55 jobs processed on the GA-1040, with accounting information about each one, including user name, document name, time and date printed, number of pages, and other job information.
4 4-6 Setting up the GA -1040 from a Window s Computer Network Setup N etwork Setup configures the GA-1040 to receive print jobs o ver the networks that are used at your site. If the GA-1040 is configured to enable mor e than one protocol, it automatically switches to the correct protocol when it r eceives a print job.
4 4-7 Network Setup Ethernet (P ort Setup) Enable Ethernet —Select if the GA-1040 is to be connected to an Ethernet network. Tr ansmission Speed —This option is set to Auto Detect, which will detect the speed of your network automatically.
4 4-8 Setting up the GA -1040 from a Window s Computer T O CONFIGURE THE TCP/IP PROTOCOL • Click the Protocol1 tab in the Netw ork Setup window . Y ou can change AppleT alk, IPX/SPX, and TCP/IP protocol settings for the GA-1040 on the P rotocol1 and Protocol2 tabs.
4 4-9 Network Setup Protocol Setup (T CP/IP) Enable on Ethernet —Click to enable if you have a TCP/IP network connected to the GA-1040 over E thernet cabling. Y ou must enable TCP/IP for Ethernet to use the F iery W ebT ools over E thernet. If you are using T CP/IP for printing from W indows NT 4.
4 4-10 Setting up the GA -1040 from a Window s Computer Gatew ay If your TCP/IP network has a gateway , and users outside the gateway print to the GA-1040 using TCP/IP , enter the gateway address. Obtain the correct gateway address from your network administrator .
4 4-11 Network Setup Protocol Setup (AppleT alk) Enable AppleT alk —Select to enable Apple T alk if you have an AppleT alk network connected to the GA-1040. This setting enables the GA-1040 to communicate over AppleT alk networks. Select Zone —The GA-1040 searches the network for A ppleT alk zones in your network segment.
4 4-12 Setting up the GA -1040 from a Window s Computer Protocol Setup (IPX Fr ames) Auto Select —Click Auto S elect to specify all suppor ted IPX frames, whether or not they are supported on your network. T o determine the frame types that were successfully bound, save your settings, reboot the GA-1040, and print a Configuration page.
4 4-13 Network Setup T O CONFIGURE PS ERVER S ETUP • Click the Service1 tab in the Network Setup windo w . Y ou can modify NetW are 3.x (Bindery), and N etW are 4.x or 5.x (NDS) configurations from Command W orkStation. T urn on the Enable NDS option if your network uses N etW are 4.
4 4-14 Setting up the GA -1040 from a Window s Computer PServer Setup (NetW are Services) The Enable PServer option must be turned on if you have a N ovell server connected. Y ou can, however , change the PServer polling inter val and then modify either Bindery Setup or NDS Configuration.
4 4-15 Network Setup PServer Setup (Bindery Setup) U se Binder y Setup if y ou have already configured one or mor e binder y servers (file servers running NetW are 3.x, or N etW are 4.x or 5.x in binder y emulation) with a P rint Server and a P rint Queue for GA-1040 jobs (see page 5-6).

4 4-19 Printer Setup Printer Setup Publish Direct Connection —Select to enable users to print (or do wnload) jobs to the GA-1040 without spooling. When the D irect connection is published, users can print jobs to the Direct connection and do wnload and delete printer fonts.
4 4-20 Setting up the GA -1040 from a Window s Computer T O SET P APER OPTIONS • Click the P aper Setup tab in the Printer Setup window . N OTE : In the following illustration, “D evice name ” represents the controller , which is GA-1040.
4 4-21 Exiting Setup name, the time the job was printed, the number of pages printed, and the status of the job. If a P ostScript error occurs and the P rint to PS Error option is set to Y es, the Cover P age lists the P ostScript error message instead of the job status.

5 5-1 GA -1040 on a NetW are 5.x netw ork with NDPS This chapter describes environments that typically include one or more network servers—No vell NetW are servers and Windo ws NT 4.0 servers—that will share printing to the GA-1040. It describes setting up servers that use IPX/SPX or TCP/IP protocols for communicating with the GA-1040.

The following procedure describes setting up a P ublic Access printer .
5 5-4 Setting up Network Serv ers 6. In the Configure No vell PDS for Printer A gent dialog box, select “((NONE))”, and click OK. 7. In the Configure P ort Handler dialog box, choose “Remote LPR on IP” as the connection type , and click Next.
5 5-5 GA -1040 on a NetW are 3.x or 4.x netw ork The GA-1040 can receive print jobs from N etW are clients over Ethernet. D uring GA-1040 setup, you select the frame type or types that will be used for communication between the GA-1040 and network servers.
5 5-6 Setting up Network Serv ers There is no need to rerun Setup when adding or r emoving a NetW are queue; how ever you should reboot the GA-1040 after a queue is cr eated or remov ed. When the GA-1040 is configured to connect to a N etW are server , it polls the N etW are server for jobs in each of its queues.

5 5-8 Setting up Network Serv ers Setting up an NDS connection In NDS, all N etW are entities (objects) are organized in a hierar chical tree structure. Objects have a name, properties, and a context which defines the location of the object in the directory tree.

5 5-10 Setting up Network Serv ers GA -1040 on a TCP/IP netw ork with Window s NT 4.0 When a Windo ws NT 4.0 computer is configured to connect to the GA-1040 using TCP/IP , it can print directly to the GA-1040.
