13 1 Before Using the Machine Welcome to th e Xerox fami ly of WorkCentr e products. This System Administration Guide provides detailed i nformation, techni cal specifica tions and procedures for usi ng the integral featu res of the machine.
1 Befor e Using the Mach ine 14 Languag e Displayed on t he T ouch Screen The language of the touch scr een can be changed in the following two ways: • To change the language for tempor ary use, press the <Language> button on the control panel, and then sel ect the required language.
Conventi ons 15 T ext in [Square Bracket s] Indicates the names of the screens, tabs, buttons , features, and option cat egories. Square brackets are also used wh en referring to file and folder names on a PC. For example: • Select [Origi nal Type] on the [Image Quality] scr een.
1 Befor e Using the Mach ine 16 Related Informa tion Sources The foll owing sources of information are availabl e for the machine. User Guide This guide is intended fo r general users and descri bes how to use the features of the machine, such as copy, scan, and fax.
17 2 Paper and Oth er Media The machine i s designed to use various paper types and other medi a. This chapter provides i nformation on loading paper and other t ypes of media i nto the mac hine. Loading Pape r The machine can be equipped with various paper trays.
2 Paper and Other M edia 18 NOTE: When chan ging the s ize or type of stock in the tra y , ref er to Paper T ray Settings in the Setup s chapter on pa ge 70. 3. Load the paper neatly and tightl y against the lef t-hand side of the tray . NOTE: Do not load paper above the maximu m fill li ne.
Loading Pape r 19 NOTE: Always l oad paper i nto the tra y in the or ientati on shown in the diagram. 3. Close the tray . The elevator rises and p ositions the paper for use . Byp ass T ray (T ray 5) Tray 5 (Bypass) all ows you to use a variety of paper types.
2 Paper and Other M edia 20 High Cap acity Feeder (T ray 6) The High Capacity Feeder (Tr ay 6) allows you to load up to 2,000 sheets of paper. NOTE: Y ou cannot load custom size p aper into the High Capaci ty Feeder . 1. Pull out T ray 6. 2. Remove the screw from the guide at the back of the tray , and remove the gui de from the t ray .
Loading Pape r 21 6. Pull up the end-guide lever along th e slot (1), adjust the positi on of the lever to the size of the paper (2), and then push the lever back i nto its position (3). NOTE: Do not use the slot at the lef t of the 8.5” slot on the end guide.
2 Paper and Other M edia 22 En vel ope T r ay The Envelope Tray allo ws you to stack up to 43 mm of envelopes. NOTE: Insert the Envelope T ray in the slot for T ray 1 only . Insertin g the Envelope T ray in any ot her slot will damage it. 1. Pull out the Envelope T ray .
Storing and H andling P aper 23 S toring an d Handling Pap er Always use high quality, xer ographic grade paper in the machine. Damaged, curled, or damp paper can cause j ams and image quality probl ems. Follow these si mple rules to store paper. • Store paper in dry conditions, away from extr eme heat or cold, such a s radiators or open windows.

29 3 Maintenance This chapter des cribes the maintenanc e tasks that ar e required periodi cally to mainta in the machine in proper working or der. Ordering Su pplies A variety of supplies are availabl e for the mac hine, including machine-specifi c consumables such as a toner ca rtridge, a drum cartri dge, staple cartridg es and refills.
3 Mainten ance 30 1. Wipe the document cover and document glass with a so ft cl oth moistened with water or Xerox- approved cleaner to remove any marks, and then wipe with a soft, dry cloth.
Replac ing the Dr um Cartri dge 31 2. Open T ray 5 (Bypas s) and then Cover A whi le lift ing up the release lev er . 3. Lif t up the colored lever , and slide th e drum cartridge out until you can gras p the handle on to p of the cartridge. 4. Hold the handl e and remove the cartri dge from the mach ine.
3 Mainten ance 32 4. Pull the cartridge t ape straight out without breaking it . 5. Push the car tridge again to ensure it i s positioned correctly . 6.
Loadin g Staple s in t he Integra ted O ffice Fini sher ( Optiona l) 33 Removing the O ld T oner Cartridge 1. Make sure t hat the machine is not operating, and open the front cover . 2. Pull the toner cart ridge out unt il you can gras p the handle on to p of the cartridge.
3 Mainten ance 34 1. Make sure that the machine is not operati ng, and open t he front cover of the finisher . 2. Take the staple car tridge out of the finisher . 3. After removing the staple cartridge, check the inside of the finisher for any remaining staples.
Loading Sta ples in the O ffice Finish er LX (Optiona l) 35 6. Return t he staple cart ridge to its origi nal positio n 7. Close the front cover of the fi nisher. NOTE: If t he front cover is not compl etely closed, a message wil l appear and t he machine will not oper ate.
3 Mainten ance 36 4. Pinch both sides of the empty staple case with your finger s (1), and remove the st aple case from t he cartridge (2). 5. Insert t he front si de of the new staple case into t he staple cartridge ( 1), and then push the rear side into th e cartridge (2).
Emptyi ng the Hole Pu nch Waste Contain er (Option al) 37 3. Hold the tabs on both side s of the new booklet stap le cartri dge, and i nsert it into the origina l position until it clicks. NOTE: If you have trouble inserting the cartridge, make sure t hat the stapl es in the cartri dge are properly in place.
3 Mainten ance 38 3. Empty the contai ner . 4. Insert th e empty hole pu nch waste contai ner all the way into the finisher . 5. Close the front tr ansport cover of th e finisher . NOTE: If the cent er front transport cover of the finisher i s not completely closed, a message will appear and th e machine will not operate.
39 4J o b S t a t u s This chapter cont ains informatio n on the job status screens and the f eatures available. Job St atus This featur e allows you to check the progress o f incomplete j obs, or displ ay the detail ed informati on of completed jobs.
4 Job St atus 40 Active J obs This screen allows you to vi ew incomplete jobs that are waiti ng, in progress, or suspended. It also all ows you to view Charge Print, Secure Print , Sample Set, or Delayed Print documents that are currently stored in the machine.
Complete d Jobs 41 Delete Cancels a job that is being processed or on hold, or deletes a stored document fro m the machine’s memory. Promote Job Promotes a j ob to be proces sed immediately after the o ne being processed . Last Original Indicates the current scan batch is the last in a job to be scanned .
4 Job St atus 42 Job Attributes Select a job o n the [Completed Job s] screen to di splay the job attr ibutes. The attr ibutes displayed vary depending on the type of job. Show Child Jobs Select thi s button to show al l child job s for the sel ected job.
Secure Pri nt Jobs & More 43 Charge Print The Charge Print f eature temporarily s tores documents on the machi ne per billing ID. The feature p revents unauthori zed printing by requiring us ers to lo g in to the machi ne before printing.
4 Job St atus 44 Private Char ge Print The Privat e Charge Print featu re temporaril y stores documen ts per user I D, until a user logs in and manually pr ints them from the machine’s control panel. This feature only displays documents of a l ogged-in us er, and thus provides se curity and pr ivacy to documents stored in the machine.
Secure Pri nt Jobs & More 45 3. Select [ Document List]. 4. Enter t he passco de for the us er ID, and select [Conf irm]. 5. Select a document to print or de lete. 6. Select the required o ption. Refresh Refreshes t he displayed i nformation. Go t o Specifies the Secur e Print number to be di splayed on the scree n.
4 Job St atus 46 • Select All - Sel ects all documents in the list . • Delete - Dele tes a document selected in the list. • Print - Prints a do cument selected i n the l ist. After p rinting, t he document will be deleted. Delayed Print This feature allows you to store doc uments on the machine for printing at a later t ime.
Secure Pri nt Jobs & More 47 Pages Displays t he number of printed, sc anned, sent, or received pages . Select All Selects all the documents i n the [Public Mailbox]. Print Prints a document selec ted in the list. Delete Deletes a document select ed in the list.
4 Job St atus 48 Address Book Displays a page which allows you to select a recipient from the Address Book. For informati on on how to select a recipient from the Addres s Book, refer to t he Fax chapter in the User Guide.
49 5 Machine S t atus This chapter describes how to chec k the machine s tatus, bil ling meter, and status of consumables. It al so describes how to pri nt various report s/lists and how to access the System Administra tion mode.
5 Machi ne Status 50 1. Press the < Machine S tatus> button on the control p anel. 2. Select the [Machine Information] tab. 3. Select the requir ed option. General Info rmation This feature all ows you to view user support infor mation, the machine ’s serial number and configurat ion, and the software versi ons of the machine components.
Machi ne Information 51 Print Mode This feature allows you to change the default prin ter mode and emulation parameter settings. For the l ists of emul ation parame ters and their values, re fer to Emulation Par ameters in the Appen dix chapter on page 437.
5 Machi ne Status 52 1. Select [Setup] on the [PDF] screen. 2. Enter a 3- digit p arameter it em number in the [Item Number] field. 3. Select [Chang e V alue] to change t he display ed value, or select [ Confirm] i f no change is required. 4. If you sel ected [Chang e V alue], enter the required v alue in the [New V a lue] field .

Machi ne Information 55 Reports • Configurati on Report - Lists common setting s, such as hardware configurat ion, network informati on, and print and copy feature set tings. • Scan/Fax Confi guration Report - Lists settings speci fic to f ax and scan features.
5 Machi ne Status 56 Mailbox List 1. Select [Mailb ox List] on the [Print Rep orts] sc reen. 2. Select the requir ed option. 3. Select the <S tart > button on the control p anel. Mailbox List Lists the mailbox set tings and procedure when stori ng data in the mailbox.
Machi ne Information 57 Automatically Printed Reports/List s This section descr ibes the various reports/ lists that can be prin ted automatically. Job History Report Lists the last 50 jobs proc essed on the machine. For more informat ion, refer to Job History Repo rt on page 73 .
5 Machi ne Status 58 Fax Receiving Mode This feat ure allows yo u to set the fax reception mode t o [Manual Receive] or [Auto Receive]. NOTE: This feat ure is not displayed when Server Fax i s enabled. 1. Select [Fax Receiving Mode] on the [Machine Infor mation] screen.

5 Machi ne Status 60 To o l s On the [Tools] sc reen, the System Admini strat or can change various def ault presets on the machin e, register mailboxe s and job flow sheets, and configure authent ication and security features. To access al l features on this scr een, you must ent er the machine in the System Administra tion mode.
Tools 61 Accounting This menu allows you to configur e accounting functions and view jobs performed by each account. For more informati on on the features availabl e, refer to Accounting on page 133 . Authentication/Security Set tings This menu allows you to set up the authenti cation and securi ty features.

System Settings 67 Auto Clear Specifies whether to automatically display the default screen if you do not perform any operation within the selected period of t ime.
6S e t u p s 68 Job Complete Tone 1 / Job Complete Tone 2 Specifies the volume level of the tone gener ated when a job i s completed successf ully. Select a volume level, and the n, under [Targeted Jobs ], select the job types to apply the volume lev el to.
System Setti ngs 69 Screen Default at Power On Specifies the init ial screen to be displa yed when the machine is switched on. Set the preset init ial screen to the Al l Services, Job Stat us, or Machine Status screen. For information on the Job Stat us and Machine Status screens, refe r to Job Status on page 39 and Machine Status on page 49 .
6S e t u p s 70 Paper T ray Settings This feat ure allows you to confi gure vari ous settings for trays, and for paper to b e loaded in the tray s. 1. Select [Paper T ray Settings] in the [Features] menu. 2. Change the requ ired sett ings. 3. Sel ect [ Close ].
System Setti ngs 71 Paper Tray Attribute s During Loading Specifies whether to display the paper tr ay attributes on th e control panel when the tray is opened t o load paper. This sett ing does not apply to Tray 5 (Bypas s). Paper Tray Priority Specifies the paper tr ay priority for Auto Tray Swit ching.

System Setti ngs 73 Print Reports Button Specifies whethe r to display the [Print Report s] button on the [Machine Info rmation] screen. Refer to Print Repor ts in the Machine Statu s chapter on pag e 52. Job History Report Specifies whethe r to automatically print a Job History Report for every 50 jobs.

Aft er selecting [Initi alize Hard Disk], select a partition, and then sel ect [Start]. Then sele ct [Yes] to execute init ialization. Aft er the initiali zation is completed, select [Confirm] .
